About the position
This position provides executive and administrative support to the Dean and other members of the La Trobe Rural Health School Executive. In addition to having specific responsibility for a range of functions (including committee support and related activities) the position is part of a larger professional and administrative staff team which is collectively responsible for providing support to the activities of the School and its academic departments and research centres.
Duties will include but not be limited to:
- Provide executive and administrative support services for the Head of School and senior staff, including but not limited to:
- High level administrative support
- Diary, travel and event management
- Telephone, mail and email management
- High level secretariat support for committees
- Preparation of documents for meetings and publication including, where appropriate, preparing draft reports and confidential papers
- Reconciliation of expenses in Expensify for Head of School
- Supporting the School in Academic Integrity matters
- Prepare accurate and timely reports and data as required by the School and University.
- Develop and maintain will organised records, files and data systems.
Skills and Experience
To be considered for this position, you will have:

- Previous experience in an executive assistant role, supporting senior management individuals or teams.
- Demonstrated highly developed organisational and time management skills with an ability to prioritise and co-ordinate tasks to meet competing deadlines.
- Highly developed administrative skills including the ability to develop new administrative systems and processes.
- High level of proficiency in computer software systems including Calendar, Outlook, Word and Excel as well as the use internet search tools to compile information for reporting.
- Demonstrated high level of written and oral communications skills, with a high level of accuracy and attention to detail.
- Demonstrated experience in creating agendas, minute taking and follow through of action items for the executive level meetings.
