Your next opportunity

We are seeking a highly organised and detail-oriented Administration Officer to support the end-to-end administration of projects across multiple departments. This role is pivotal in ensuring the smooth setup, activation, financial tracking, and reporting of projects, as well as managing procurement, dockets, and general administrative duties.

Your day will involve:

Project Administration

  • Set up new jobs in the system, including importing quotes, checking GL codes, and requesting project credit authorisations.
  • Import, review, and amend Daily Resource Sheets (DRS).
  • Prepare and enter Accounts Receivable invoices, including billing checks, variations, and progress claims and raise revenue accruals.
  • Prepare and matching of Accounts Payable invoices, review accruals, and reconcile discrepancies.

Purchasing

  • Raise and receipt Purchase Orders (POs) in Oracle.
  • Resolve PO holds and liaise with relevant stakeholders.

Docket Management

  • Raise and manage external sales dockets.
  • Enter and edit APEX Asphalt dockets, including manual entries and extra freight charges.
  • Review EDIT ticket reports and transfer APEX tickets as needed.

General Administration

  • Manage reception duties including phone calls and visitor greetings.
  • Collect and distribute mail; coordinate uniform orders.
  • Participate in monthly statewide admin meetings.
  • Maintain electronic filing systems in line with audit requirements.
  • Update project performance dashboards (costs and quantities only).
  • Code and submit credit card expenses in Concur.
  • Investigate and resolve aged inquiries with suppliers.

  • Proficiency in systems such as Scenario, Oracle, APEX, and Concur.
