The Opportunity
We are seeking a highly organised and proactive Executive Assistant to support our Executive General Manager – HSE, Fleet & Asset Integrity and General Manager – Sales & Marketing. You will manage a wide variety of responsibilities and play a critical role in enabling the success of the leaders you support. You will be accountable for coordinating and overseeing all administrative functions to ensure seamless day-to-day operations.
Key responsibilities include, but are not limited to:
- Managing complex calendars and schedules, including coordinating meetings, appointments, and travel arrangements.
- Preparing and coordinating meeting materials, such as agendas, presentations, and reports.
- Acting as the primary point of contact for internal and external stakeholders.
- Organising events, conferences, workshops, training programs and other special projects.
- Preparing and editing correspondence, documentation, and presentations.
- Maintaining the highest level of discretion and confidentiality in all interactions and communications.
- Anticipating the needs of the EGM and GM and provide proactive support.
About You
- Experienced EA supporting multiple senior stakeholders in a large, complex organisation.
- Highly organised with exceptional attention to detail.
- Strong MS Suite skills — PowerPoint, Excel, and Word formatting.
- Outstanding communication skills with confidence in writing and creating content.
- Proactive, solutions-focused, and comfortable managing changing priorities.
- Ability to build rapport quickly and represent the executives professionally.
