Normal Work Schedule: Monday - Friday 8:00am to 4:45pm; occasional nights and weekends.
Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Assists the Director of College Strategic Initiatives, the Associate Director of Donor Development, and the Events & External Relations Coordinator in the day-to-day operations of the office under limited supervision. Oversees the program support, general office, administrative, and secretarial duties with some variety and complexity. Acts as the main liaison to other offices within the University as well as external contacts. Maintains budget records. Arranges meetings, itineraries, and agendas. Types a variety of material. Compiles data. Prepares reports.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Knowledge of personal computers and standard application software, including spreadsheets and relational databases. Good organizational skills. Good written and verbal communication skills. Ability to work collaboratively on a team. public relations skills.
Preferred Qualifications: Bachelor’s degree in Business Communications or related field. Two (2) years of administrative experience in Higher Education. Experience with Adobe Photoshop or InDesign, Denny, Microsoft Office Suite, Social Media, Constant Contact, Concur, and Qualtrics. Familiar with the University of Alabama fiscal policies.
