Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Performs duties for the Department of Civil, Construction and Environmental Engineering to support the Department Head and ensure smooth general operations of the department. Organizes departmental events such as faculty and Board of Advisors meetings, and coordinate visits for seminar speakers and prospective faculty. Assists with the undergraduate program, including planning student events. Coordinates meetings for prospective students. Assists with the ABET accreditation process. Assists other administrative staff within the department, which includes serving as back-up to the Purchasing Assistant and Student Services Assistant.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Knowledge in the usage of personal computers and standard application software (Outlook, Word, PowerPoint, Excel), with some advanced proficiency in Excel. Good organizational and public relations skills. Punctual and reliable. Excellent written and verbal communication and customer friendly service. Efficient and accurate computer and data entry skills. Ability to work collaboratively in a dynamic setting. Ability to research and prepare comprehensive reports. Ability to work in a rapid pace with numerous interruptions. Demonstrated tact, versatility, and adaptability. Ability to demonstrate a high degree of self-motivation and directional initiative.
Preferred Qualifications: Bachelor's degree. Experience in University systems (Concur, Banner, BuyBAMA, etc.). Knowledge of UA's financial and purchasing policies and procedures.
