Job Summary: The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc.


Additional Department Summary: Under moderate supervision, admin assistant performs general office and administrative duties with some variety and complexity, while following generally prescribed procedures and protocols. Typical duties may include: receive, screen, and route calls, bulk mailing and tracking, email correspondence and coordinating campus visits with external stakeholders. Set up and maintain various files, compile data and prepare reports; maintain inventory for supplies and marketing materials, act as daily liaison to other offices; make room reservations, maintain and distribute monthly newsletter. Provide budgetary support to the Manderson Office Manager to include but not limited to: daily p-card transaction and invoice reconciliation, produce various reports, secure internal and external permits, guest parking, assist with producing and distributing printed items marketing materials; point of contact for submission and tracking of UA facility workorders; secure appropriate licensing and branding documentation and approvals for SWAG/promotional items; office decorating and upkeep; assists Manderson admissions and recruitment staff with mailouts and scheduling campus visits and tours; build and maintain student schedules for front office coverage. Support the Manderson Events Coordinator with event preparation, logistics, and operations as needed. Perform other duties as assigned.


Required Minimum Qualifications: High school diploma or GED or higher.


Additional Required Department Minimum Qualifications: Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.


Skills and Knowledge: Basic knowledge in the usage of personal computers and standard application software (word processing, spreadsheet and/or database management programs. Excellent communication skills. Prefer InDesign experience or willingness to learn. Must be able to work independently as well as with a group, manage workload and prioritize to meet deadlines.

Must be available to attend and assist with minimal number of after 4:45pm, night and weekend events.


Preferred Qualifications: High school diploma or GED and two (2) years of general office experience; OR associate's degree or higher.
