Job Summary: The Executive Assistant to the President performs complex administrative duties in support of the institution's Chief Executive Officer to execute the mission of The University of Alabama.
Additional Department Summary: The Executive Assistant to the President is one of two Presidential Executive Assistants providing complex administrative support requiring frequent discretion and both collaboration and independent judgement. Acts as a point of contact for the President and the President’s Office to both internal and external constituents, ensuring the University is portrayed positively throughout scheduling/planning of meetings and appointments. Fosters strong working relationships with the University’s executive leaders and their key staff. Works quickly, accurately and efficiently in organizing, vetting and managing requests for appointments and in coordinating completion of all necessary arrangements and materials for each appointment. Makes travel arrangements and completes payment and reimbursement forms. Uses discretion and maintains confidentiality.
Required Minimum Qualifications: Master's degree and two (2) years of complex administrative support experience; OR bachelor's degree and four (4) years of complex administrative support experience; OR associate's degree and six (6) years of complex administrative support experience; OR high school diploma or GED and eight (8) years of complex administrative support experience. Relevant experience in roles working with Executive Offices as a UA student will be considered.
Additional Required Department Minimum Qualifications: Requests and needs will arise outside of normal UA operational hours. Must be able to monitor needs and work some nights, weekends, and holidays as needed.
Skills and Knowledge: Microsoft Office suite skills (Word, Excel, Outlook, etc.). Ability to learn and utilize University endorsed software and programs (Concur, Box, Adobe Suite, etc.) and web-based programs and applications. Attention to detail. Problem-solving skills. Ability to handle several tasks simultaneously. Strong organizational and planning skills. Excellent verbal and written communication skills. High degree of professionalism. Ability to work well with internal and external constituents. Ability to use discretion and maintain confidentiality. Ability to display a positive and professional demeanor, even under stressful or challenging circumstances. Ability to work both quickly and accurately. Strong task-management skills and ability to pivot quickly between tasks without compromising accuracy and completeness. Exemplary judgment to know when to ask for help and when to complete tasks independently.
Preferred Qualifications: Complex administrative experience.
