Job Summary: The Accounting Assistant II maintains accurate financial records. Provides accounting and bookkeeping support. Assists University staff in understanding industry standards, current laws, and university policy as it relates to the financial affairs of the University. Provides guidance and trains entry-level Accounting Assistants.
Additional Department Summary: Responsible for all accounting and related work associated with both The EDGE and AEI. This includes, but is not limited to regular reporting to the City regarding EDA requirements, monthly revenue, budget and expense reports for the Executive Director who uses these data for communications with donors and sponsors, PCard processing, invoicing payments in Concur, monitoring financial activing in Banner daily, compliance with credit card use, invoicing tenants for rent and co-working payments, payments associated with renting of the EDGE space and miscellaneous accounting and budget needs. The individual in this office also manages regular office purchases, travel, coordination with the management department budget manager for related needs and more. The person in this role works with various data compilation activities, such as managing tenant lists, visitor lists, activity participant lists and more – consolidating information gathered for a number of reporting purposes, including reports to advisory board members, university personnel, for the executive director and more. In addition, the person in this role assists the assistant director and executive director in several projects related to events and projects at The EDGE and AEI. This includes, but is not limited to, work associated with events (competitions, workshops, summer pre-accelerator and accelerator programs). The person in this role is responsible for note taking and management of advisory boards, working directly with the executive director. As a member of the AEI / EDGE team, all employees, including the person in this role helps with large-scale major events, such as the annual business plan competitions (the group manages three of these), ongoing tenant relations and more. This requires, at times, working during non-standard business hours such as evenings and weekends. In addition, it may be required that this individual monitor email and phone messages in non-regular off hours or if the University is closed when the tenants at The EDGE are working. The individual will also be responsible for processing new hires, including student workers and also manage students on various projects related to the work in this role.
Required Minimum Qualifications: High school diploma or GED and two (2) years of accounting or bookkeeping experience; OR associate's degree or higher.
Additional Required Department Minimum Qualifications: Ability to work in non-standard business hours and be willing to check email and phone messages on weekends and off-hours.
Skills and Knowledge: Candidate must possess advanced knowledge in the usage of personal computers and standard application software (word processing, spreadsheet and/or database management programs). Excellent organizational, communication and critical thinking skills. Accounting and data base knowledge also desired.
Preferred Qualifications: Competent with latest technology (e.g. CRM, social media, project management, event planning tools and more). Knowledge of UA Banner system and Concur. This individual must have a professional presence and be able to work easily with senior executives within and outside of the university
