Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: The Administrative Assistant II assists the Vice Dean in day-to-day operations to fulfill the Capstone
College of Nursing (CCN) mission, vision, goals, and values. Communicates professionally and regularly with the CCN community to support the success of the entire University. Oversees the Vice Dean's general office with administrative, managerial, project, and secretarial duties requiring complexity, support, and a wide variety of knowledge and skills.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Proficient in Zoom, the latest Microsoft Office suite items (Microsoft Teams, Word, Excel, PowerPoint, Outlook, OneNote, and OneDrive), PageUp, Faculty Success, Astra, Banner, and Qualtrics Survey software. Excellent interpersonal, public relations, organizational, communication, and writing skills within various formats (virtual, phone, in-person, and Microsoft Office). Attention to detail. Strong presentation, problem-solving, and time management skills. Ability to interact effectively with faculty, staff, and students from a variety of backgrounds and experiences with professionalism and confidentiality. Ability to function independently and multi-task with prioritization.
Preferred Qualifications: Bachelor's degree in business management, general business, or operations management and substantial planning, management, and supervisory experience in a college, university, or healthcare setting, with heavy experience utilizing technology.
