Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Provides comprehensive administrative support for the Department of Educational Leadership, Policy, and Technology Studies (ELPTS), serving all program areas, including Educational Leadership (EDLE), Higher Education Administration (HEA), Instructional Technology (IT), and Social and Cultural Studies (SCS). Supports faculty, instructional staff, and students across all programs and serves as a central point of coordination for departmental operations and administrative processes. Performs other duties including financial processing and pre‑approval coordination, faculty hiring and workload support, student services, and general administrative operations in support of program and departmental priorities.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Strong organizational skills with the ability to manage multiple priorities and deadlines. Attention to detail, particularly in financial documentation and data tracking. Effective written and verbal communication skills. Proficiency with standard office technologies (e.g., Microsoft Office), including the ability to work with spreadsheets and data tracking tools. Ability to work in a fast-paced, interruption-driven environment while maintaining accuracy and consistency.
Preferred Qualifications: Experience providing administrative support in a higher education setting, using spreadsheets to organize, track, and maintain data across multiple processes or workflows. Experience with financial and administrative processes (e.g., travel authorizations, reimbursements, supplemental pay). Experience supporting faculty, academic programs, or student services.
