Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; nights and weekends as needed.
Job Summary: The Event Planner conceptualizes event theme, itinerary, etc. Develops and manages event budgets. Oversees the implementation, execution, and follow-up for events hosted on- and off-campus. Creates invitations. Selects sites. Creates seating arrangements. Negotiates with florist, caterers, event space staff, print shops, etc. Manages on-site contract staff, students, and etc.
Additional Department Summary: Manages and executes events for the University Libraries. Schedules and supports events utilizing the Library facilities by external departments. Manages event budget to ensure costs stay within allocated budgets. Performs operational duties, including but are not limited to: supervising student workers, publishing and maintaining content on the website, UA’s Events calendar, managing social media accounts for upcoming events, and managing travel logistics for guest speakers. Serves as a liaison to multiple campus and library departments, performing graphic design and memorializing events with video or still photography.
Required Minimum Qualifications: Bachelor's degree and two (2) years of event planning or coordination experience; OR master's degree.
Skills and Knowledge: Working knowledge of digital presentation applications and hardware. Working knowledge of various office production software, including Excel, Word, and PowerPoint. Ability to problem-solve. Strong communication skills, both written and verbal. Strong organizational skills. Excellent attention to detail. Ability to multitask and follow through on commitments and elements of planning events.
Preferred Qualifications: Bachelor's degree or higher in hospitality management. Experience working with catering providers and vendors. Experience with UA Procurement system (Concur). Graphic design experience. Experience with social media account management. Experience with video production and knowledge of best practices for still photography and video.
