Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; Occasional evening and weekend hours may be required to support meetings, events, and other business needs.
Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Provides comprehensive administrative support to the Associate Dean for Strategic Partnerships and Workforce Advancement. Manages the Associate Dean's calendar. Coordinates meetings and events. Supports strategic partnership and workforce advancement initiatives. Maintains communications with internal and external stakeholders. Assists with reports and special projects. Facilitates activities related to healthcare, academic, community, and global partnerships. Plays a critical role in advancing the College's strategic goals through exceptional organization, communication, and customer service.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Excellent written and verbal communication skills. Strong organizational and project management skills. Ability to manage multiple priorities. Proficiency with data tracking and reporting. Ability to show discretion in handling confidential information. Strong relationship-management skills. Ability to coordinate complex events and partnership activities. Excellent interpersonal and organizational skills. Ability to problem-solve and to critically think. Ability to maintain positive relationships with students, faculty, staff, and administration.
Preferred Qualifications: Experience providing administrative support to executive leaders, senior administrators, or organizational leadership. Experience coordinating projects, events, and complex initiatives with multiple priorities and deadlines. Experience collaborating with and coordinating activities among multiple internal and external stakeholders. Experience preparing reports, presentations, correspondence, and other materials.
