Job Summary: The Training Specialist plans, organizes, directs, and conducts specialized training requirements for a college, department, or division.
Additional Department Summary: This position is responsible for operational execution of UA SafeState occupational safety and health training programs, including OSHA Training Institute Education Center courses, OSHA Outreach Trainer activities, open-enrollment and contract training, conferences, and other noncredit professional development programs and provides day-to-day management and operational oversight. Establishes operational priorities, assigns and monitors work, resolves routine program issues, and ensures that courses, documentation, and services are delivered accurately, consistently, and on schedule. The position supervises OTI Education Center staff and coordinates with contracted instructors, trainers, student/temporary support, and other personnel engaged in program delivery.
The position works with the Director of Training, Executive Director, instructors, OSHA Outreach Trainers, course participants, university offices, and external partners to ensure approved training programs are delivered accurately, consistently, and in accordance with applicable requirements. The position also supports program growth through outreach, networking, conference attendance, and coordination with the Training Director on marketing initiatives.
Required Minimum Qualifications: Bachelor's degree and two (2) years of creating and/or facilitating training experience; OR master's degree and some creating and/or facilitating training experience.
Skills and Knowledge: Strong written and verbal communication, organization, judgment, follow-through, and ability to manage multiple programs, personnel, deadlines, and competing priorities.
Working knowledge of training-program operations, registration/course-management systems, documentation control, records management, university financial/procurement/travel processes, and reporting.
Ability to supervise assigned work, monitor performance and completion, review program records and course delivery for quality and compliance, identify deficiencies, and direct or coordinate corrective action.
Ability to work independently within established policy, make operational decisions, escalate significant issues appropriately, and communicate recommendations to program leadership.
Working proficiency with Microsoft Office.
Preferred Qualifications: Experience with OSHA Training Institute Education Center programs, OSHA Outreach Trainer programs, occupational safety and health training, continuing education, university or other regulated training environments; Enrole or similar course-management systems; OSHA Outreach Portal documentation; instructor agreements; participant records; certificates; evaluations; training reports; purchasing, travel, payments, or professional service agreements.
Four years of progressively responsible experience in training program coordination, continuing education administration, occupational safety and health training support, regulatory program administration, conference/program coordination, or related administrative program management. Equivalent combinations of education and directly related experience may be considered as permitted by university policy. Experience coordinating or overseeing training courses, conferences, continuing education, regulatory training, or comparable professional development programs. Experience maintaining and reviewing program records, reports, registration data, instructor/trainer files, participant records, or other regulated documentation. Experience coordinating the work of staff, instructors, contractors, student workers, or other program support personnel and communicating with internal and external stakeholders.
Ability to travel in and out of state as required.
