How can you make a difference? 

The Administrative Assistant is responsible for executing a broad variety of procedural and specialized administrative tasks for the respective sections requiring in-depth knowledge of UNICEF administrative procedures, processes and policies.

Key functions, accountabilities and related duties/tasks:

Scheduling

  • Schedules broadcast courses, working with broadcast team, and curriculum delivers to ensure that courses are scheduled.
  • Work with broadcast team to upload content to AGORA page at completion of broadcast training,
  • Regularly supports the review of the content to ensure it is up to date.
  • Ensures that broadcast attendees are registered and marked as having completed broadcast courses.
  • Monitors course calendar to ensure adequate coverage of various courses.
  • Monitors pre-registration of courses to ensure sufficient enrollment.
  • Monitors participation and provides/collects data for learning reports as required.
  • Generates and disseminates reports on user engagement and course effectiveness.
  • Supports analysis of trends in participation to inform adjustments to the delivery strategy.
  • Coordinates with regional focal points for organizing invitations and managing communication workflows related to scheduled sessions.
  • Provides support to prospective participants as required.
  • Provides support on budget revision/preparation as required. 
  • Supports ongoing monitoring and maintenance of budget allocations for tools and software licenses used by the Global Learning Centre, ensuring sustainability and alignment with strategic priorities.

Procurement

  • Maintains up-to-date vendor lists, partners, and consultant rosters.
  • Coordinates with the GSSC procurement team for the purchase/renewal of tools and software licenses used by the Global Learning Centre. Supports ongoing monitoring and maintenance of budget allocations for tools and software licenses, ensuring sustainability and alignment with strategic priorities.

Communications and workflow

  • Manages incoming and outgoing correspondence, e-mails and telephone calls.
  • Communicates routine and some non-routine information pertaining to the work of the team.
  • Establishes and maintains the office filing and reference systems, both traditional and digital; and ensures the inter/intra-net websites are up to date and accurate.

Studio broadcasting support

  • Provides operational and technical support during live broadcasts from the broadcasting studio.
  • Acts as second chair during sessions, assisting with timekeeping, participant engagement and coordination with facilitators.
  • Supports pre-session setup and testing of equipment.
  • Coordinates with facilitators and producers to ensure smooth delivery of virtual and hybrid sessions.
  • Troubleshoots technical issues as needed during the live broadcast.

Facilitation and delivery of selected sessions

  • Facilitates and delivers portions of UNICEF’s global induction programme, coordinating logistics and managing participant interaction to ensure a smooth learning experience.
  • Delivers, as requested, other live sessions (online and in person) as part of the regular learning initiatives offered by the GLC.

Calendar / meetings / correspondence management

  • Maintains office calendar and arranges meetings.
  • Takes minutes of meetings, ensuring accuracy, attention to detail and coherence.

To qualify as an advocate for every child you will have…

Education

  • Completion of secondary education is required. preferably supplemented by technical or university courses related to the field of work.

Work Experience

A minimum of 5 years of relevant administrative or clerical work experience is required. A completed BA degree from an accredited institution qualifies as 3 years experience and will be counted towards the minimum work experience requirement. Minimum two (2) years of relevant experience is required for candidates holding bachelor’s degree in relevant fields. Master’s degree will be considered additional two years of relevant work experience.

Requirements:

  • Experience using MS Word, Excel, PowerPoint and other UNICEF systems.
  • Organizational, planning, and prioritizing skills and abilities.
  • Ability to work effectively with people of different national and cultural background.
  • Ability to work in a team environment to achieve common goals.

Desirables:

  • Experience in providing technical support in the broadcasting studio during live sessions
  • Knowledge of E-Learning management systems
  • Software such as SharePoint; knowledge of integrated management information systems
  • Support for a training team (e.g., experience in using software for the production of learning products) is also considered an asset.
  • Budgeting experience is considered an asset.

Skills

  • Project Management, Collaboration, Problem Solving, Digital Dexterity.
  • Experience using MS Word, Excel, PowerPoint and other UNICEF systems.
  • Experience in providing technical support in the broadcasting studio during live sessions.

Language requirements

  • Fluency in English (Spoken and Written) is required.
  • Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
