The Administrative Associate (Fleet Management) provides specialized administrative and logistics support that ensures the efficient management, coordination, and oversight of UNICEF Nigeria’s vehicle fleet. The role supports both programme delivery and operational continuity by ensuring the fleet management systems are compliant with organizational standards and contributing to safe and effective mobility of personnel and assets.
How can you make a difference?
Under the direct supervision and guidance of his/her supervisor, the Administrative Associate (Fleet Management) is responsible for the execution of specialized administrative and logistics tasks related to fleet operations. This includes vehicle deployment and tracking, fuel and maintenance monitoring, and ensuring adherence to transport policies and safety protocols

- Coordinate Fleet operations oversight
- Transport Coordination
- Communications & Workflow
Coordinate Fleet operations oversight:
- Manage day-to-day operations of the vehicle fleet in Abuja.
- Ensure compliance with the utilization of all fleet optimization platforms in all locations, in coordination with field focal points.
- Maintain vehicle usage schedule and drive assignment using the humanitarian hub.
- Maintain vehicle service logs in Abuja and coordinate with focal points in field offices.
- Ensure proper and valid documentation of all vehicles
- Monitor and provide reports fuel usage, including reconciliations.
- Optimize travel routes, scheduling and coordination based on demand.
- Utilize real time tracking and provide reports on anomalies.
- Maintain fleet register and assignment for all locations.
- Maintain records of incidents and accidents for Abuja and in coordination with focal field persons for other locations.
Transport Coordination:
- Plan and coordinate transportation according to demand.
- Assign cars (including Taxis and Car hire where necessary) as required, including from other UN agencies.
- Monitor and supervise vehicle movement to ensure compliance as per schedule.
- Maintain roster of available transport service providers as per UNICEF policies.
- Ensure safety standards and compliance with outsourced service providers.
Communications & Workflow
- Facilitates the communications and workflow of the organizational unit to enhance the efficiency and timeliness of operations and outputs.
- Manages incoming and outgoing correspondence, e-mails, and telephone calls.
- Communicates routine and some non-routine information about the work of the team.
- Establishes and maintains the office filing and reference systems for the function.

Education:
Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
Experience:
A minimum of 6 years of relevant administrative or clerical work experience is required.
Language Requirements:
Fluency in English is required. Knowledge of another UN language or local language of the duty station is considered as an asset.

UNICEF appointments are subject to medical clearance. Issuance of a visa by the host country of the duty station, which will be facilitated by UNICEF, is required for IP positions. Appointments are also subject to inoculation (vaccination) requirements, including against SARS-CoV-2 (Covid). Government employees that are considered for employment with UNICEF are normally required to resign from their government before taking up an assignment with UNICEF. UNICEF reserves the right to withdraw an offer of appointment, without compensation, if a visa or medical clearance is not obtained, or necessary inoculation requirements are not met, within a reasonable period for any reason.
