UNICEF’s Global Shared Services Centre (GSSC) provides services to UNICEF offices around the world in the areas of Finance, Master Data Management, Human Resources Administration, Payroll & Offboarding, and IT Customer Care. How can you make a difference?
The Human Resources Assistant manages complex administrative and transactional tasks to the efficient implementation of a broad range of Human Resources functions for all categories of staff in the office, ensuring accurate and timely delivery that is in compliance with UN, UNICEF HR and financial rules and regulations.
The work performed affects not only the timely delivery of processes but also indirectly the delivery of the client departments/divisions/offices’ programmes. The Human Resources Assistant plays a key role, as a member of the team, in providing routine and specialized information both to client’s departments and to more senior members of the team on procedures and the progress of delivery against standards and deadlines.
Key functions, accountabilities and related duties/tasks:
1. Process Accuracy and Compliance:
Ensure all HR, recruitment and payroll processes are administered accurately, in compliance with policies and procedures. Monitor and verify data to uphold the highest standards of accuracy, quality and confidentiality. Ensure data privacy and protection in all activities.
2. Timely Process Completion
Timely and error free processing and financial integrity: Efficiently planning and prioritizing tasks based on the workload and timelines of case requests. This includes keeping abreast of Service Level Agreements (SLA) compliance each month and using daily monitoring reports/systems/dashboards to manage workload effectively. Adherence to procedures and policies, case management guidelines, timelines, and SOPs for maintaining compliance, consistency, and financial accuracy.
3. Knowledge Base Contribution:
Contribute to the process of updating knowledge articles, FAQs, etc. In addition, contribute to the timely update of SOP, step-by-step guides and working documentation.
4. Continuous Improvement and Simplification:
To ensure continuous improvement mindset to identify opportunities to simplify, streamline and standardize the processes in the most effective manner. This in turn should help ensure processes and efficiency maximization.
5. Stakeholder Collaboration:
Collaborate with internal and external stakeholders to ensure effective communication and coordination. For any business process and system related changes, participate in testing that ensures proper calculations.

Minimum requirements:
- Education: Completion of secondary education, preferably supplemented by technical or university courses related to the field of work.
- Work Experience: A minimum of five (5) years of progressively responsible administrative or clerical work experience is required. A completed university degree from an accredited institution will be counted towards the minimum work experience requirement. Minimum two (2) years of relevant experience is required for candidates holding bachelor’s degree in relevant fields. A relevant master’s degree may replace additional two (2) years.
- Skills: Excellent communication, presentation and problem-solving skills, digital tools and systems knowledge are required. Ability to manage tasks and projects effectively and prioritize is required.
- Language Requirements: Fluency in English (verbal and written) is required.
Desirables:
- Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts.
- Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is considered an asset.
