Job Description:

The Department of Physics in the College of Liberal Arts and Sciences is seeking an Accountant II. The Accountant II position is responsible for managing various fiscal and accounting functions within the the unit. The Department of Physics (PHY) is a large, research-intensive department with 300 employees and 63 cost centers. This role involves assisting with financial transactions in accounts payable and travel, monitoring account activity, and reconciling accounts to ensure accurate spending. As a fiscal and financial subject matter expert, the Accountant II solves complex problems by interpreting and applying standard procedures, provides financial support and advice, and contributes to team financial projects. The incumbent handles daily fiscal and accounting transactions, coordinates special programs for PHY, and assists with budget preparation and financial reporting. Duties and responsibilities include, but are not limited to:

Manage Daily Fiscal and Accounting Functions:

  • Responsible for managing the daily fiscal and accounting functions within the Department of Physics.
  • Handle accounts payable and travel-related financial transactions.
  • Investigate and resolve accounting errors and work with appropriate staff to resolve the issues.
  • Ensure compliance with applicable standards and provide separation of duties for all financial processes.
  • Assist with the reconciliation of all department cash-based and appropriated funds.
  • Serve as a tier 1 reconciler.

Team Supervision and Compliance:

  • Ensures fiscal assistants adhere to federal, state, and university rules and regulations as they process daily requests, while also providing training, guidance, and support for efficient operations.
  • Works closely with fiscal assistants, providing training, feedback, and supervision to ensure efficient processing of daily activities such as travel, Pcard, and MyMarketplace orders.
  • Monitors compliance with regulations and provides guidance as needed.
  • Recommends corrections, alterations, and improvements to business procedures to enhance efficiency and compliance.
  • Provides support, assigns tasks, and delegates work to fiscal assistants.
  • Offers training to ensure understanding and adherence to departmental procedures and regulations.
  • Monitors performance and provides feedback to maintain high standards of work.
  • Sets priorities for fiscal assistants to ensure timely completion of tasks.

Financial Management and Oversight:

  • Reconcile and analyze monthly activities.
  • Monitor department accounts for specific projects.
  • Ensure compliance with applicable regulations.
  • Prepare, review, audit, and initiate budget transfers.
  • Coordinate with the immediate supervisor to maintain accurate financial records for all PHY accounts, including state appropriations, foundation accounts, overhead accounts, scholarship accounts, professorship accounts, Department and College commitments, and auxiliaries.
  • Transmit budget requests to appropriate college-level processors.
  • Analyze monthly activities to track departmental expenditures and revenue.

Financial Record Management and Transaction Support:

  • Assists the immediate supervisor with financial record management for all PHY accounts, including state appropriations, foundation accounts, overhead accounts, scholarship accounts, professorship accounts, Department and College commitments, and auxiliaries.
  • Supports the immediate supervisor with processing and reconciling various financial and fiscal transactions, including budget transfers, journal entries, payroll cost transfers, travel and expense reimbursement, purchasing, invoice payments, and scholarship awards.

Other duties as assigned.

Expected Salary:

The salary range is $53,000 - $60,000, commensurate with qualifications and experience.

This is a TEAMS position and is eligible for a suite of excellent benefits, retirement options, and paid leave. 

Minimum Requirements:

Bachelors degree in an appropriate area and two years of relevant experience.

Preferred Qualifications:
  • Working knowledge of MS Office and familiarity with typical financial system tools.
  • Familiarity with State, UF, and College rules and procedures.
  • Strong internal initiative, problem-solving, and interpersonal skills.
  • Excellent written and verbal communication skills, with the ability to interact tactfully and courteously with the public.
  • Demonstrated ability to plan, organize, and coordinate work assignments effectively.
  • Experience operating Windows-based and character-driven programs.
  • Proven ability to organize, prioritize, and follow through on numerous tasks over varying timeframes.
  • Strong multitasking abilities with a sense of urgency in task completion.
  • Ability to maintain effective working relationships with coworkers, faculty, students, and clients.
  • Positive attitude and willingness to accept constructive criticism.
  • Familiarity with appropriate organizational hierarchy.
  • Thorough knowledge and understanding of basic accounting principles and budgeting.
  • Customer service-focused mindset.
  • Effective management of deadlines and interruptions, with a proactive approach to problem-solving.
  • Strong teamwork and collaboration skills to creatively address challenges both within and outside the unit.
  • Must be able to work comfortably in a fast-paced environment with deadlines and interruptions. The number of Physics faculty, staff, and graduate students necessitates a flexible individual, who can respond well to pressure and can handle multiple tasks at one time.
