Job Description:

The University of Florida College of Nursing (CON) seeks a Human Resources Generalist II. This position serves independently performing a variety of highly responsible functions. The main focus of this position is to provide a myriad of human resource advisement, support and recommendations to CON administration, staff and faculty in compliance with College, University, State and Federal rules and regulations. The employee in this position must have extensive knowledge of College and University policies and procedures. The employee in this position must also possess and use excellent human relations skills.

 HR Recruitment and Hiring Manager
Responsible for providing guidance and serving as Level 1 approver for all recruitments including posting, letters of offer, hires, and distributions. Guidance may include posting requirements, recruitment questions, interviewing process, veteran’s preference rules, foreign national requirements, background screenings, health assessments, work permits, reference checks, ad placements, search committee requirements, timelines, etc. Responsible for reviewing and approving all applicable letters of offer and/or appointment prior to issuance. Review all HR paperwork for completion and correctness prior to approving in PeopleSoft, UF’s Human Resources management system. Posting faculty hire requisitions in PeopleSoft ensuring postings are accurate and reflect the information required to fulfill UF Faculty recruitment guidelines. Responsible for recommendations on ad creation and placement, consults on recruitment questions, Confirm all recruitments advertised through UF’s posting systems are dispensed appropriately.

In conjunction with the Associate Director of Human Resources, will serve as Level 1 reviewer and approver for reclassifications, special pay increases (SPI’s), FTE changes, administrative supplements, additional pays, position description updates, supervisor changes, leaves of absence, terminations and leave cash outs. This may entail providing salary analytics, reviewing paperwork, comparing data with others in same/similar positions, processing FMLA paperwork, and advising departments related to these changes, as appropriate.

HR-related responsibilities

Responsible for tracking anticipated employee end/renewal dates, coordinating reappointment and termination requests with department administrators to ensure employee appointment changes, letters of reappointment, terminations and leave settlements are processed accurately and timely. Developing and managing accurate record system to ensure timely hires and terminations to avoid new hires from not getting paid on time and for terminating employees to not get overpaid and receive their cash outs (if applicable) timely.

Serves as the point of contact, CON liaison and processor for International hires and International Scholars between departments, Fragomen, Central UFHR and International Center for all salary plans. Review hire paperwork to include letters of offer, and immigration paperwork and send to HR for review and to generate international tax documentation.

Ensuring Graduate Assistants and Fellowship recipients are accurately entered into the Letter of Appointment system and monitoring tuition waiver requests for any issues that prevent payment. Responsible for tracking renewal / end date for GRAs and fellows ensuring timely renewals and terminations.

Responsible for managing the College of Nursing onboarding program for all new employees and creating a welcoming environment. The CON on-boarding program for all new hires include coordinating with department chairs and supervisors to initiate welcome emails, onboarding checklists, orientation to the college and the University of Florida, first, third and nine month check-in reminders with information to build open communication and trust. Orients new employees to policies, procedures, benefits and personnel requirements of the College / University. The CON faculty on-boarding process is shared with the department chairs, so working with and advising of human resource policies, procedures, rules, regulations and laws is essential.

Responsible for coordinating the off-boarding program for all employees / volunteers in the CON. Including, but not limited to collection of termination letters; facilitation of exit checklist / exit interviews; collection of UF property from terminating employees; collection of keys, ID cards, Pcards, etc.

Responsible for authorizing Gator ID and ordering business cards for new employees.

Managing Alternate Work Location agreements for the college when applicable.

Serving as HR subject matter expert in the college and provide accurate information regarding policy, rules and regulations for faculty, staff, and students as needed.

Keeping abreast regarding Human Resources issues and attend monthly HR Forum. Responsible for disseminating information back to college leadership with the key takeaways and important upcoming HR policy or procedural changes / news and impacts for the CON

Payroll and Leave Manager
Responsible for ensuring employees’ time and leave is entered correctly and approved by coordinating with CON time approvers. Sending out reminders to enter time and have time approved before the deadline. Processes leave balance adjustments; off cycle check requests, and wage refunds, backup for payroll approvers. Reviewing biweekly preliminary and final pay lists for accuracy.  Emphasis is placed on meeting University deadlines to guarantee employees are paid in a timely manner. Responsible for submitting FMLA requests, tracking time used, and submitting FMLA time in PeopleSoft. UF Directory Coordinator for all salary plans at the college. Serving as CON HR subject matter expert advising on FMLA, payroll, leave, etc.

Responsible for distributing all employees to various state, contract and grant, and clinical contract accounts for payroll purposes in PeopleSoft and the CON database.

Training and Records Management
Maintaining electronic records for the College employees related to personnel transactions, annual evaluations, licensure requirements, transcripts, promotion and tenure requests, raises etc. Collecting and evaluating employee information and generating reports for deans, directors, and department chairs, including semi-annual comprehensive faculty data list.  Recommends and implements internal operating policies and procedures for human resources activities in the college. Maintaining compliance records per Health policy, FERPA policy, HIPAA policy, and background checks.

Responsible for tracking training statuses for required trainings for all employees and ensure new employees complete all required trainings.

Assisting with special projects such as salary surveys, program analysis, etc

Minimum Requirements:

Bachelor’s degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

EDUCATION & TRAINING:  Bachelor’s degree preferred

EXPERIENCE:
Experience processing of International Visas.
Experience with clinical faculty appointments.

KNOWLEDGE:
Knowledge of University personnel procedures and regulations.

SKILLS:
Proficiency in computer usage and knowledge of database software, spreadsheets, word processing software.

ABILITIES:
Ability to communicate effectively.
Ability to apply problem-solving techniques.
Ability to track and follow-through on numerous projects as needed.
Ability to implement University and College accounting and administrative policies and procedures.

SHRM Certified Professional (SHRM-CP), SHRM Senior Certified Professional (SHRM-SCP), HRCI Professional of Human Resources (PHR), or HRCI Senior Professional of Human Resources (SPHR) preferred
