Job Description:

Secretary and Clerical Duties

This position serves as the first point of contact for the center greeting and interacting with Baby Gator families, guests, and both external and internal vendors. General secretarial and clerical duties which include answering a multiline phone system, transferring calls, taking messages, and providing information to callers and visitors in a friendly and efficient manner. Other general duties include, but limited to, acting as courier, filing, laminating, copying, scanning, and faxing documents.

Oversight of Volunteers and Practica Students

The administrative assistant will be responsible for conducting any applicable orientations and trainings for volunteers and practica. The position will schedule classroom hours, complete all work-hours forms for instructor as requested, and monitor and record performance for all volunteers. The employee will assist the Assistant Director for Research with scheduling practicum students and will maintain appropriate attendance records.

Procare and Child Accounts

This position will assist with the management of child files and Procare account, ensuring both are kept to date and are stored according to University records retention.

Classroom Coverage Assistance

The Secretary will assist covering in classrooms intermittently throughout the day to assist teachers with breaks, meetings, or other times teachers may need to briefly step out of the room.

Other Duties

The position will also work with the Baby Gator administrative team for special projects and events as needed.

Expected Salary:

$18.00 to $20.00, based on education and experience

Minimum Requirements:

High school diploma or equivalent and one year of appropriate experience.

Preferred Qualifications:

Associate Degree or higher and 2 years secretarial experience

Experience in an administrative teaching position in an early childhood or other educational setting.

Strong background in office administration, personnel support, and program management, with a keen eye for detail and a proactive approach to problem-solving.

Excellent communication skills, both written and verbal.

Proficiency in Microsoft Office Suite and familiarity with content management systems.

Ability to work independently and collaboratively within a team.
