Job Description: |
Administrative Support to the Senior Director:
- Coordinate activities and correspondence with Division of Student Life and campus partners, boards, committees, other state agencies, and professional organizations.
- Research and develop materials for use in meetings and departmental communication.
- Coordinate and manage travel for the Senior Director.
- Assist with coordinating, scheduling, and planning meetings, events, and activities; disseminate information and redirect requests as appropriate.
- Maintain confidential information relating to the Senior Director's office.
Serve as the Human Resource Liaison:
- Assist with professional staff recruitment, onboarding, and offboarding.
- Prepare position descriptions for posting; work with the Senior Leadership Team to prepare timelines for search processes; and coordinate travel for candidates.
- Collaborate with the Associate Director for Administrative Services to prepare logistics for search processes.
- Guide the Senior Leadership Team in navigating employee relations and HR policies.
- Maintain confidential information.
General Office Management & Other Duties as Assigned:
- Serve as an active member on committees, work teams, and other global efforts within the Department of Recreational Sports.
- Act as a UF Go delegate to book travel for professional staff and assist with expense reports.
- Serve as the Department of Recreational Sports Advisory Board's Secretary and collaborate with the Advisory Board Chair to prepare for monthly meetings.
- Provide feedback to supervisor regarding the safety and/or condition of programs, equipment and facilities; conduct daily observations and/or use said equipment and facilities; immediately document and address all safety concerns; and operate a state vehicle as needed.

Expected Salary: |
$57,000 - $67,000
|
Required Qualifications: |
Bachelor’s degree and three years of relevant experience; or an equivalent combination of education and experience.
Valid FL driver's license is required.
Notary Public License will be required within three months of hire.

Preferred: |
Bachelor's degree and seven years of relevant experience. Experience in supporting top level executives within higher education. Ability to function effectively in a fast-paced environment with frequent interruptions. Be able to work as part of a team. Ability to plan, remain organized, and pay attention to detail. Extensive knowledge of administrative and office management principles and practices. Ability to understand, interpret, and apply rules, regulations, policies, and procedures. Skilled in PeopleSoft and proficient with basic software application (Microsoft Office: Word, Excel, PowerPoint, and Outlook). Excellent written and oral communication skills. Ability to work well with all levels of internal staff as well as outside stakeholders and staff within the Division of Student Life. |
