Job Description:

The Department of Medicine, Administration is seeking a full time Research Development Strategist III. This position is a senior level position responsible for dedicated program level management and oversite of the Hub’s research initiatives and activities, with an aptitude for sophisticated stakeholder management, communications, and customer service. This role will manage all Hub programs that promote an organizational culture of creativity and innovation, develop structures for committees, workgroups, and staffing, executive reporting, event management, resource analysis and new concept initiatives. Key responsibilities also include faculty support through recruitment, onboarding, HR transactional support, major purchases, and researching funding opportunities for Hub members. The Research Development Strategist III for the DOM Research Hub reports directly to the Vice Chair of Research and plays a key role in the Department’s research mission.

Essential Functions;

Hub Administration & Development
• Responsible for the development of the administrative support infrastructure for DOM Research Hub and strategic plans for increasing NIH and other extramural funding.  Understands trends in the field and can apply a blend of institutional knowledge and sponsor review process knowledge to structurally direct the departmental strategy.
• Direct administrative and leadership support for Hub related events, retreats, conferences, and faculty meetings.  Will assist with the development of structures for committees and work groups and serve as the project manager for Hub related initiatives.
• Develop internal tools and tracking databases for metrics of success, operational decisions, and other needs of the Hub Vice Chair for Research.  Responsible for executive reporting and presentations.  Identifies areas of further exploration and integrates findings into the broader strategic framework of the department.
• Gather information and coordinate the development of project budgets.  Provide routine reporting on expenses related to budget.
• Supervise and mentor any Hub staff hired in the future as expanded services are developed and implemented.
• Manage the administration of DOM Gatorade programs.  Track long-term success of the programs, advising on trends and modifications to existing programs.
• Lead coordination of specialized trainings or initiatives by DOM, COM, or UF for researchers.  Actively identify discrepancies in the department’s internal processes and bridges these with the protocols of external and internal collaborative units.
• Assist the Vice Chair for Research with annual evaluations and meetings for PhD research members of the hub.  Gather, summarize, and disseminate data needed in PhD evaluations.
• Provide training and onboarding support for PI’s managers within larger research groups related to administrative functions of their roles.

Hub Member Support
• Faculty Recruitment - Provide administrative support for research faculty recruitment, including search committee support, candidate visit coordination, and proformas (RTRs & RTHs) and package projections.  Assist Director with mentor identification and coordination for newly hired faculty.
• Faculty Onboarding – Serve as the primary administrative contact for incoming faculty including support with lab moves, UF core office connections, and HR support for lab transition.
• Research Compensation Plan – Will function as the faculty’s primary contact for research compensation plan administration and support, interfacing with the Vice Chair for Administration and Department’s Data Analyst for compensation plans.
• HR Transactional Support – Provide administrative support for members on lab staff position descriptions, salary ranges, recruitment strategies, and PTFs.  Develop and update standard position descriptions commonly used in labs.  May complete PTFs, supplemental forms, and job descriptions for PIs establishing their programs or with smaller programs that do not have a management structure in place. 
• Software & Equipment Purchase – Serve as a resource for obtaining UF approvals on new software purchases, including the Risk assessment, major equipment purchases, and maintenance agreements.
• Commitment forms – Complete commitment forms for new hire start up packages and other requests for research faculty.
• Lab staff evaluation tracking – In conjunction with DOM HR, provide reminders and support for hub faculty members to complete staff evaluations via UF Engaged bi-annually.

Grant Funding Support
• Identifies and facilitates high-impact research collaborations internally and is aware of potential external partnerships that could elevate research initiatives and likelihood of funding.   Actively search for relevant funding opportunities from a variety of agencies and communicate these notices to the relevant Hub members.
• Provide administrative leadership, coordination, and guidance on the submission major grants, such as P’s, U’s, and training grants.  This is separate and distinct from the RA role. Serves as primary consultant for structural, budgetary, cost share, and strategic aspects of these applications

Expected Salary:

$80,000 - $95,000 Annually

Required Qualifications:

Master’s degree and three years of experience in grant and contract administration, grant writing, or an equivalent combination of education and relevant experience.

Preferred:

• Demonstrated experience working with a variety of people at all levels of an organization.
• Background in research administration and University operations.
• Must be self-motivated and comfortable working independently, as a team leader and as a team member.
• High level of interpersonal skill, written and oral communication necessary to interface with various levels of management.
• Must demonstrate relevant experience in motivating people who may or may not be direct reports to work as a team in harmony with the goals of the project and the organization.
• Demonstrated ability to present to key stakeholders and/or leadership.
