Job Description:
  • Pre-Award: 1) Review all components for proposal submission, with particular focus on the budget, budget narrative, and proposal review form. Inspect RFA and proposal guidelines for indirect cost (IDC) limitations and cost share requirements. Confirm the appropriate project type and apply the corresponding IDC rate. Ensure that no unnecessary commitment of university resources is included in the budget or budget justification areas of proposal. 2) Recommend revisions to proposal components in accordance with sponsor, institutional, state and federal guidelines. 3) Create proposal record within the UF Integrated Research Support Tool (UFIRST) proposal module and route in accordance with institutional policy. Ensure all internal deadlines are met throughout the proposal review and approval process, as well as timely submission to the sponsor. 4) Coordinate submissions with relevant internal and external stakeholders, including PIs and other key personnel, other research administrators, department chairs/directors, external colleges/organizations, sponsored research offices. 5) Advise PIs on correct formatting of proposal documents such as the scope of work, budget justification, biographical sketches, current & pending, in accordance with proposal guidelines. Must travel for training, workshops, and other business travel as needed.
  • Post-Award:1) Provides assistance and back up to SPA post-award administrator by monitoring and managing all award actions throughout the award cycle, ensures proper documentation and routing via UFIRST module and release of funds, as per institutional policy, and collaborates with various offices to ensure timely completion of deliverables. 2) Examine new/modification award documents for changes from proposed funding levels, process NCE and CAS Exemption approvals and assist SPA administrator and G&G with closeout efforts for all awards. 3) Determine the need for advance/temporary release of funds when official actions are delayed, coordinate with PI and C&G to ensure timely submission of invoices, financial reports, budget modifications/realignments, progress reports, and final reports to sponsors. 4) Submits FARs on behalf of faculty on a semester basis and works closely with faculty to coordinate and complete effort certification.
  • Fiscal Administration: 1) Verify that expenditures are allowable and allocable to sponsored awards, updates payroll distributions for employees being paid from grants. 2) Monitor the rate of expenditure to ensure that active grants are efficiently spent over each budget period, alerting the PI to high or low burn rates and ensure that cost share commitments are met. 3) Works with fiscal staff to by providing accurate award information as it relates to direct charge salary, staff payroll, GA stipend and tuition support, and equipment purchases.
  • Marginal Functions (Other duties assigned as needed): Assist the Center Director and Assistant Director, Administrative Services with special projects as needed.
           
Expected Salary:

$23.95-$26.34 per hour commensurate with education and experience

           
Required Qualifications:

A bachelor’s degree; or an equivalent combination of education and experience.

           
Preferred:

Bachelor's degree and at least two years of relevant experience.
