Job Description:

The School of Theatre + Dance in the College of the Arts seeks Facilities Operations Specialist to manage day-to-day facilities operations and event logistics for the School. Responsibilities include overseeing the maintenance, cleanliness, and organization of school spaces, coordinating repairs and work orders, managing assets and equipment procurement, and supporting capital projects. The role also plans and facilitates special events, guest visits, and provides technical support for classroom technology. Serving as the primary Building Emergency Coordinator, the position ensures health, safety, and security compliance, including access systems and safety equipment upkeep. Additionally, the position advises on facilities policies and works collaboratively with School leadership to enhance operational efficiency. The Facilities Operations Specialist reports to the School Director.

Responsibilities:

Facilities Operations

  • Manages the upkeep, organization, cleanliness, and maintenance of all School of Theatre & Dance classrooms and rehearsal spaces, performance spaces (in collaboration with the Producing Director) shops, production labs, offices, lobby areas, and additional common spaces in the Nadine McGuire School of Theatre & Dance Pavilion and other spaces occupied by SOTD.
  • Serves as the asset manager, facilitating equipment and supply procurement, storage, tracking, repair, maintenance, and recommendations for needed resources to support the research, teaching, and service initiatives of the School. This includes overseeing purchasing, invoice processing, and disposing of unnecessary assets.
  • Coordinates cleaning schedule for all public and manages locker assignments for students, staff, and faculty and maintains locker systems.
  • In collaboration with leadership, faculty, research, propose budget for, and oversee capital building projects and purchases.

Event & Project Management

  • Plans, coordinates, and run advancement events, retirement celebrations, opening night receptions, and additional special events for the School.
  • Facilitates guest artist and faculty search related travel and residency logistics May assist with providing local ground transportation and providing tours of Gainesville, Campus, COTA, and SOTD to guests and prospective employees.

 Space & Technology Support Services

  • Provides technical support to faculty, staff, and students to maintain and troubleshoot the school’s classroom technology including computers, digital media systems, and sound systems (systems separate from production).
  • Collaborates with the COTA Facilities Team to complete certification of the annual Space Allocation Report.

 Health, Safety & Security:

  • Functions as Primary Building Emergency Coordinator (BEC) to provide pertinent building or departmental information to public safety officials in emergencies and relay safety and security information to School leadership and when appropriate the SoTD community.
  • Addresses building and equipment security needs including management and programming of all keypad and card swipe systems.
  • Oversee the vendor responsible for stocking first aid kits, the upkeep, inspection, and maintenance of an AED device and eye wash stations, and related safety systems. Schedules annual fire drills and building generator testing.

 Policy

  • Serves as an advisor to the School leadership in the creation and implementation of general facilities and security related procedures and policies, working to optimize workflow.

Additional Duties & Professional Development

  • Professional Development and additional duties, as needed. Professional development for this position could include attending UF specific and live entertainment industry safety courses.

Location and Schedule:

Normal work hours are weekdays 8:00 a.m. – 5:00 p.m. with an hour lunch from 12:00noon-1:00pm. Evening and weekend events or time-sensitive tasks may require after-hours work.

In production weeks and weeks that include special events may involve evening events until 11:00 p.m.  Occasional weekend work may be required.

100% In person in the Nadine McGuire Pavilion, UF Gainesville, Main Campus

Required Qualifications:

Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of appropriate experience; or an equivalent combination of education and experience.

Preferred Qualifications: The successful candidate will meet some of the following

  • Master’s degree in a related area of specialization
  • Three or more years of facilities and/or equipment management experience in a collaborative environment managing projects/processes.
  • Evidence of successful collaboration and collegiality with faculty, students, and staff or collaborators.
  • Demonstrated ability to manage multiple projects and prioritize competing demands.
  • Evidence of well-planned project management.
  • Evidence of establishing and maintaining organizational and operational systems that optimize workflow.
  • Ability to work well with a variety of personalities, improvise and prioritize with sound and independent judgment in a fast-paced, time-sensitive environment.
  • Evidence of work that advances curiosity, respect, open intellectual discourse, and the welcome incorporation and well-being of all in an environment of complex differences.
  • Budget management experience.

SCHOOL OF THEATRE + DANCE: The light-filled Nadine McGuire Theatre and Dance Pavilion is home to the School of Theatre + Dance (SoTD). The School’s international full-time faculty of 35 recognized artists and researchers, complemented by adjunct and guest faculty and staff, including full- and part-time professionals. The School offers MFA curricula in acting and in design, which includes scene design, lighting design and costume design; BFA programs in acting, musical theatre, and theatrical production with concentrations in costume, digital media, lighting, scenic, and sound; and a BA with concentrations in general theatre, stage management, and theatre management. The School features two degree programs in dance designed to develop the individual voice of the dance artist, a BFA and a BA. Approximately 200 students major in the artistically diverse curricula of the School of Theatre + Dance. Expected Salary:

$52,600 with a comprehensive and highly competitive leave and benefits package.
