Job Description:

Recruitment/Onboarding/Offboarding – Acts as liaison between hiring supervisor, applicant, and UF offices to ensure a smooth hiring process. Informs hiring supervisor of any rules/regulations associated with the new hire. Meets with prospective hires for onboarding appointments (collects and inspects hire paperwork, notarizes forms as needed, verifies I9 documents, and explains remaining process to incoming employee to ensure they are aware of the next steps). Facilitates visa processes for foreign nationals and communicates with faculty sponsors, UFIC and EVS to ensure employees/visiting scholars remain in compliance with university, state, and federal regulations. Monitors department visa expiration report and ensures all active employees have sufficient and current work authorization documents on file.

Manages cyclical HR, academic, and fiscal deadlines, working closely with Academic Advisors and Finance Manager to ensure HR transactions and communications are timed appropriately. Develops position descriptions. Manages job requisitions and coordinates all facets of job postings with UF Talent Acquisition via Careers at UF for all staff job postings. Consults with College and UF HR to ensure accuracy of content, collects applicant data for hiring supervisor, designates applicants to be interviewed/dispensed, and obtains HR’s clearance to make an offer. Collects degree validation for foreign degrees, schedules interviews, and verifies experience as needed.

Works with College HR Liaison to initiate new faculty searches, ensuring appropriate paperwork is submitted and search committee has completed online training prior to conducting interviews. Assists School Director and search committees with search process. Independently creates guides for chair and faculty to know their responsibilities for recruitment, hiring, and onboarding. Redacts and organizes candidate applications for initial review by search committee. Works with School Director, Finance Manager, and search committee to determine information needed to draft necessary forms for new position creation and approved position announcements. Posts job announcements to identified venues for position recruitment.

Communicates with new faculty and DCP HR before, during, and after the hiring process to ensure a smooth onboarding so that faculty feel welcomed and prepared. Coordinates with DCP HR to ensure faculty are introduced to their processors to become familiar with appropriate processing procedures.

Graduate and Undergraduate Students – Responsible for ensuring the letters of appointment and renewal letters for all Graduate Assistants. Ensure all Letters of Appointment are submitted accurately in PeopleSoft. Reconcile all GA tuition waivers to ensure accuracy. Coordinates volunteer and observer opportunities with sponsoring faculty. Processes OPS/STAS/FWS appointments

Tenure & Promotion Department Administrator – Provides expert administrative support to School Director and faculty in the Tenure and Promotion (T&P) / Post Tenure Review (PTR) process. Develops guides for School Director and faculty to know their responsibilities for T&P / PTR. Tracks items needed to successfully complete the T&P process, ensuring deadlines are met. Assists School Director with finalizing list of external reviewers. Keeps track of quality of past review letters, communicates with identified external reviewers to solicit review letters and bio sketches. Oversees faculty votes and uploads documents to OPT system. Interprets and implements UF / DCP T&P / PTR policies and procedures.

ePAF Originator – initiates job actions in the electronic Personnel Action Form (ePAF) System including: hires, terminations, leaves of absence, pay increases, FTE changes, Persons of Interest, vacation leave cash outs. Enters employee payroll distributions upon hire authorization. Uploads required documents to OnBase for UF HR records. Communicates with college HR Liaison on job actions (ePAFs) requiring collaboration within the college. Advises School Director, faculty, and staff on HR matters. Works directly with college HR Liaison on employee relations matters.

Time and Labor/Payroll – Responsible for ensuring employees’ time and leave is entered correctly and approved by coordinating with SoA time approvers. Sending out reminders to enter time and have time approved before the deadline. Processes leave balance adjustments; off cycle check requests, and wage refunds, backup for payroll approvers. Reviewing biweekly preliminary and final pay lists for accuracy.  Emphasis is placed on meeting University deadlines to guarantee employees are paid in a timely manner. Responsible for submitting FMLA requests, tracking time used, and submitting FMLA time in PeopleSoft. UF Directory Coordinator for all salary plans at the college. Serving as SoA HR subject matter expert advising on FMLA, payroll, leave, etc.

Responsible for distributing all employees to various state, contract and grant, and self-funded program accounts for payroll purposes in the University system.

Employee Records and Directories – Creates UFIDs and manages department affiliations. Maintains confidential and accurate HR records and follows the University’s records retention schedule. Creates and maintains records of departmental HR forms, documents, and personnel records.

Expected Salary:

$53,000 - $59,000, commensurate on experience and education.

Bachelor’s degree preferred

EXPERIENCE:
Experience processing of International Visas.

KNOWLEDGE:
Knowledge of University personnel procedures and regulations.

SKILLS:
Proficiency in computer usage and knowledge of database software, spreadsheets, word processing software.

ABILITIES:
Ability to communicate effectively.
Ability to apply problem-solving techniques.
Ability to track and follow-through on numerous projects as needed.
Ability to implement University and School human resource and administrative policies and procedures.
