Job Description:

Clinical Scheduling Administration:

  • Maintain users in applicable scheduling and residency management systems.
  • Arrange and coordinate schedules for non-anesthesiology trainees and observers rotating within the department.
  • Identify and report compliance issues in trainee leave and assist in correcting scheduling complications.
  • Serve as contact person for the interpretation and application of scheduling and leave policies, procedures and departmental guidelines.


Fiscal Administration:

  • Coordinate travel arrangements; make reservations, process reimbursements for trainees traveling to various conferences and scientific meetings.
  • Perform fiscal transactions using purchasing card or other appropriate means to support Anesthesiology Education Office activities.
  • Review and approve per policy reimbursement requests from trainee Professional Development Allowance.
  • Identify and report compliance issues and assist in correcting fiscal and human resources complications.

Serve as contact person for the interpretation and application of fiscal and human resources policies, procedures and program guidelines. Troubleshoot discrepancies and determine appropriate corrective actions to be taken.

Human Resources Administration:

  • Prepare, review, and perform input of human resources documents and data, courtesy appointments, onboarding and terminations.
  • Prepare moonlighting reports, monitor hour logging and reconcile payments for trainees.
  • Prepare, route for signature, and manage implementation of Program Letters of Agreement, Memoranda of Understanding, and similar documents between our training programs and other programs.
  • Assist in departmental effort reporting.
  • Respond to requests for verification of residency and fellowship training.


Education Administration:

  • Coordinate trainee educational experiences, including didactics scheduling, conference room and simulation lab scheduling.
  • Host morning lectures and zoom sessions and other sessions as required.
  • Assist with programmatic activities including recruitment, onboarding and off-boarding.
  • Assist with event planning and operation.


Anesthesiology Education Office Support:

  • Participate as a member of the Education Office team in office support activities such as answering phones, maintaining files, and other duties as assigned.
Expected Salary: $23 - $25 per hour
Required Qualifications:

Bachelor’s degree; or an equivalent combination of education and relevant experience.

Preferred:
  • Familiarity with University of Florida PeopleSoft database functions, as well as travel, expense and Pcard policies.
  • Familiarity with New Innovations and OpenTempo.
  • Ability to plan, organize, and coordinate work assignments.
  • Knowledge of the principles and techniques of effective verbal and written communication.
  • Skill and knowledge with various computer programs and ability to learn new programs and systems.
  • Ability to utilize problem-solving techniques.
  • Ability to understand, interpret, and apply applicable rules, regulations, policies, and procedures.
  • Ability to independently perform various administrative tasks.
  • Ability to collect and organize data for administrative decisions.
  • Ability to meet deadlines.
