Job Description: |
This position will be performing a variety of assigned tasks as they relate to the management of the clinics for the Division of Pediatric Genetics and Metabolism. This role is primarily responsible for triaging referrals and scheduling patients for the genetic and metabolic clinics, including UF & Shands, outreach, and telemedicine clinics.
Processing Referrals:
Responsible for processing referrals. Collaborates with genetic counselors and clinical nutritionists on necessary requirements to schedule patients from referrals. Gather and verify patient information including demographics and insurance information with referring physician office.
Patient Phone Calls, Mailing, Faxing, and Scanning:
Answer all incoming calls from patients, physicians, and other health care providers (internal and external), pharmacies, medical supply companies, drug companies, etc. Provide direct, real-time phone triage, patient services, and problem-resolution including registration, scheduling, and any other phone calls that are made within the individuals scope of practice. Responsible for checking overnight phone messages. Mail out appointment letters, genetic counseling letters, metabolic food pantry items, and any other documents to patients as requested. Primary representative from office to walk mail to the main hospital, as needed. Fax requested documents as requested by faculty and clinical staff. Scan medical records into Epic.
Patient Scheduling:
Schedule appointments including referral scheduling and pre and post-clinic visitations. Under faculty and clinical staff direction, schedule special patients, such as physician-directed clinic bumps. Uses the electronic medical records system, EPIC, to post communication messages to the genetic counselors, clinical nutritionists, and physicians.
Other Responsibilities:
Back up all positions of the Business Office (as needed). Perform other duties as requested and needed by the division administrator, division chief, office manager, faculty, and clinical staff.

Experience with EPIC
Bilingual (English/Spanish)
Proven ability to:
- Establish and maintain effective working relationships with others;
- Communicate effectively verbally and in writing;
- Triage phone calls, take accurate messages, and page on-call physicians;
- Understand policies, procedures, and regulations related to patients;
- Work with health care professionals and affiliated staff.
