Job Description:

Grants Pre-Award

Assists WCB faculty with the development, management, authorization, and transmittal of proposals to federal, state, and private funding agencies through UFIRST.  Ensures accuracy for all information entered into UFIRST. Serve as the point of contact for Sponsored Research for all WCB proposals.

Provides WCB faculty pre-award support which includes reviewing requests for proposal (RFP) and identifying the specific requirements and policies are met while ensuring the policies are within or consistent with those of UF and college.

Reads and interprets contracts and other award documents to determine budget, restrictions, and other pertinent information; prepares accurate budgets for each proposal.

Provides and coordinates technical assistance to PI, Co-PI, and Co-I from the college for the submission of grant and contract proposals.

Grants Post-Award

Interacts with sponsors and staff to resolve problems and correct errors in fund management.

Manages and processes the hiring and contracting for college personnel supported by grants and contracts.  Notify Director of Administrative Services of payroll distributions to grants and complete the Payroll Cost Transfer form if necessary.

Works with UF’s Contracts and Grants Accounting Services to provide support to post-award accounting of grants and contracts.  Serve as the point of contact for Contracts and Grants on all WCB awards.

Analyzes expenses, develops cost projections, and provides financial tracking and fiscal control to fulfill reporting requirements.

Work with Aso. Director of Academic Support Services to ensure effort is reported properly on sponsored projects and assist with problem solving if needed.

Provide annual grant revenue by fund code to the Director of Administrative Services for the AACSB financial report.

Ensures collection of revenue through accurate presentation of invoices.

Provides basic accounts payable support and control for sponsored projects.

Department Transaction Review Tier one reconciler for all grant and 211 funds for all college Dept IDs.

Monitors final reporting requirements.

Confer with investigators and campus administrators to ensure that changes or corrections are made as needed.

IDC Return Management

Manage college IDC account and inform the Director of Administrative Services of IDC funds that need to be returned to PURC.

Ensure IDC accounts are set up properly for PIs, Departments, and Centers and that IDC distributions are correct.  Review annual IDC return to College, PIs, Departments and Centers to ensure proper distribution.

Manage/complete the annual IDC (211) certification report.  Work with departments to ensure their IDC expenses comply with the rules and regulations of 211 funds.

Administrative Support for Associate Dean of Research and Strategic Initiatives (ADR)

Acts as the project manager for research-related opportunities through either the college or university. Maintains database of faculty research interests and works with the ADR to track research opportunities that align with faculty.

Works with the ADR on assignments and projects for continuous process improvement. Works with ADR and the College’s marketing and communications team to update research-related web content and craft messaging on behalf of the ADR. Maintains a calendar of college- and university-wide training and enrichment opportunities centered around research.

Provide administrative support for research events, such as public lectures, workshops, and conferences. This includes coordinating dates, securing and working with a venue, arranging vendor contracts, speaker and participants travel booking and reimbursements, managing the agenda, staffing the events, and planning of all other details necessary to run a successful events.

Provides advanced administrative support to the ADR in their administrative role in the college. Support with calendar management, coordination of travel arrangements, reimbursements, and purchasing. Provides support to ADR for all in-office appointments and meetings.

Performs all other duties assigned by the ADR.

Work Schedule: Monday – Friday 40 hours weekly.  Nights and weekends may be required for special events. 

Expected Salary:

$60,000.00-$63,000.00

Required Qualifications:

Bachelor’s degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred:

Comprehensive knowledge and experience with PeopleSoft financials

Excellent and professional communication, organizational, and computer skills (including the MS Office Suite)

Knowledge of Grants pre and post award.

Knowledge of Enterprise Analytics

Must have attention to detail.

Comprehensive knowledge of state and federal regulations pertaining to grants,

Ability to work independently and prioritize work assignments.

Knowledge of UF Finance and Accounting policies and procedures

Knowledge of Human Resources, Academic Personnel and OPS personnel processes for appointment to grant funds.

Ability to always maintain a high level of confidentiality and exercise good judgment.

Ability to establish and maintain effective working relationships with others.
