Job Description:

The Office of Graduate Education (OGE) at the College of Medicine is seeking a detail oriented and creative Graduate Engagement and Outreach Coordinator to focus on enhancing engagement and outreach through events, recruiting, and digital platforms. This role involves planning and executing a wide range of academic and professional events, serving as the primary liaison for event inquiries, and coordinating logistics, vendor selection, and policy compliance.

The Graduate Engagement and Outreach Coordinator will collaborate closely with leadership, faculty, and campus partners to plan and deliver events that celebrate achievement, foster belonging, and elevate the visibility of our programs.

The ideal candidate will have extensive experience in event planning and execution, display a professional demeanor, and exercise independent and prudent judgment consistently. Additionally, the role involves developing and implementing recruitment strategies, managing social media and website content, and ensuring effective communication with stakeholders.

Event Planning & Coordination

  • Lead the planning and execution of a diverse portfolio of graduate education events, including seminars, workshops, recruitment visits, graduations, and award ceremonies.
  • Partner with OGE leadership to develop event goals, budgets, and timelines aligned with the College’s strategic vision.
  • Oversee event logistics, vendor coordination, and on-site management to ensure seamless, high-quality experiences.
  • Cultivate relationships with departments, faculty, students, and external partners to ensure events reflect the collaborative spirit of the College.
  • Contribute to promotional efforts for OGE events in collaboration with the College’s communications teams, ensuring broad engagement and visibility.

Event Procurement, Finance & Operations

  • Manage event-related budgets, contracts, and purchasing activities to ensure fiscal responsibility and compliance.
  • Coordinate with vendors and campus partners to negotiate pricing, track expenses, and reconcile payments.
  • Support travel and reimbursement processes for invited speakers and participants, ensuring accuracy and efficiency.

Academic Administrative Support

  • Collaborate with OGE staff to support graduate student recruitment and program outreach initiatives.
  • Collaborate and assist in developing and maintaining recruitment materials, website content, and social media updates that promote OGE programs and activities.
  • Maintain databases and tracking systems related to student progress, alumni engagement, and event participation.
  • Provide administrative support for key academic processes, contributing to a smooth and supportive student experience.

Expected Salary:

$50,000 - $60,000; commensurate with education and experience.

Required Qualifications:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred
  • Demonstrated training and/or experience in event and/or conference coordination and management.
  • Experience in managing social media platforms and creating digital marketing content.
  • Exceptional attention to detail and creativity in planning and executing events.
  • Strong logistical knowledge, self-motivation, and ability to work independently while meeting deadlines.
  • Ability to communicate and interact positively and effectively with the faculty, staff, student, trainees, and event speakers, and attendees.
  • Demonstrated ability to work collaboratively within a team and with external partners.
  • Proven ability to manage multiple-competing projects or tasks simultaneously.
  • Ability to understand, interpret, and apply rules, regulations, policies, and procedures accurately.
