Position Summary:
The Event Assistant supports the successful execution of events hosted by the Florida Semiconductor Institute (FSI) by assisting with onsite coordination, vendor communications, and event logistics. This part-time position plays an essential role in delivering high-quality, well-organized events that serve both internal teams and external partners. The ideal candidate is a professional, detail-oriented, and adaptable individual with excellent customer service skills and a flexible schedule to accommodate a variety of event types and timelines.
This role offers hands-on experience with the full event lifecycle, from planning and preparation to on-site execution and post-event wrap-up. The Events Assistant will contribute to a wide range of FSI-hosted events, including educational seminars, industry panels, and community outreach programs. Candidates should be interested in event coordination, marketing, or public relations and ready to support a dynamic and fast-paced team environment.
Key Responsibilities:
Event Support
- Assist with on-site setup, breakdown, and logistics before, during, and after events.
- Support registration, check-in, and guest services.
- Help with room arrangements, catering coordination, and A/V setup.
- Assemble materials such as name badges, signage, promotional items, and supplies.
- Assist in transporting and organizing materials and equipment to and from event locations.
- Assist with event tracking documentation, including packing lists and inventory logs.
Planning & Coordination
- Participate in planning meetings and support task tracking and follow-up.
- Help manage event timelines, contact lists, and planning documents.
- Coordinate with campus partners, vendors, and student volunteers.
Marketing & Communications (Light)
- Take event photos and assist with basic content creation for marketing use.
- Document observations and attendee feedback to support post-event debriefs and improvements.
