Job Duties: |
The Department of Psychiatry is seeking a detail-oriented and highly organized Human Resources Generalist II to join our team as the primary support for TEAMS recruitment, payroll, and credentialing. In this role, you will also serve as backup for faculty appointments, onboarding, and recruitment, while assisting the Human Resources Generalist I with OPS positions and related responsibilities.
You will play a key role in supporting a department of approximately 239 employees, ensuring accuracy, efficiency, and compliance in all personnel and payroll matters. This position reports directly to the Administrative Specialist II and offers the opportunity to contribute to a collaborative and mission-driven environment.
About This Role:
TEAMS Appointments:
- TEAMS Recruitment – Responsible for preparing and submitting all exemption request, PageUP posting of TEAMS positions, SPI request, Re-classification request for all TEAMS positions. Prepares and submits all paperwork for New Hire TEAMS positions.
- Track UF Engaged report to ensure the Department is completing UF Engaged timely.
- Facilitate completion of position descriptions for the department by compiling and coordinating required information, prepares and submits for review. Review compensation matrix and submit recommendation reclass, and promotional compensation based on position description.
- Monitor and track usage of FMLA leave by departmental TEAMS personnel as appropriate. Answers questions relating to FMLA leave policy, distributes FMLA forms to employees, ensures their timely receipt and submits them to Central Leave Office as appropriate. Inputs FMLA Leave of Absences into People Soft, records FMLA leave in the payroll system and maintains records.
- Prepares all TEAMS foreign hires and paperwork with the Immigration Office. Prepares all paperwork for TEAMS special pay increase, FTE changes, raises/promotions and terminations.
- Primary Department Security Administrator (DSA) for TEAMS – ensures all security roles are assigned appropriately for all staff and deleted as applicable.
- Primary resource for the department Director and Assistant Director for all TEAMS related questions and job tasks and advises managers and provides guidance to employees on employment laws, university regulations and personnel policies and procedures.
Payroll Processing:
- Verify preliminary and final pay list to ensure all TEAMs employee are paid.
- Communicate the department’s payroll deadline to ensure completion prior to the UF Payroll deadline
- Trouble-shoot any payroll entry problems; manage payroll exceptions by notifying employees and instructing them how to correct payroll errors. Provides guidance to employees and managers on employment laws, university regulations and personnel policies and procedures.
- Responsible for approving the specified employees’ payroll. Back-up payroll approver for the Department.
- Verifier of the Pay List to ensure correctness for all TEAMS employees.
Faculty Support:
- Faculty Hospital Credentialing: Department liaison for hospital credentialing issues for the Department of Psychiatry.
- Responsible for initiating the credentialing of all new physician faculty by obtaining appropriate forms for them to apply for clinical privileges at Shands Hospital at Gainesville, Shands Psychiatric Hospital, Shands at Jacksonville.
- Works closely with the Shands Credentialing office to ensure new incoming faculty and licensed staff complete a request for privileges in a timely manner through the online portal. Ensure that renewal of hospital privileges is accomplished bi-annually for all faculty.
- Responsible for ensuring all FPPE (Focused Professional Practice Evaluations) and OPPE (Ongoing Professional Practice Evaluations) are completed in a timely manner, signed by the Department Chair and returned to the Shands Credentialing office.
- Faculty Provider Enrollment: Department liaison for provider enrollment issues for clinical faculty in the Department of Psychiatry. In order for clinical faculty to bill insurance companies, Medicare, etc. for patient services, they must be assigned provider numbers by the various agencies.
Monitor DEA License:
- Monitor and follow up with employees DEA license renewal.
- Run reports and track active licenses and communicate with employee renewal dates, statuses, and deadlines.
Backup Faculty Recruitment and Hire:
- Serves as backup for Faculty recruitment.
- Backup for Courtesy Faculty Appointments for the Department of Psychiatry.
- Obtains required information from the courtesy faculty member, assigns UF ID numbers, ensures completion of HIPAA and signature for the Confidentiality statement, compose letter for the Department’s Chair signature, prepare paperwork and submit to the Dean’s office for approval.
- Backup Department Security Administrator (DSA) for Faculty – to ensure all security roles are assigned appropriately for all faculty and deleted as applicable.
- Advises managers and provides guidance to employees on employment laws, university regulations and personnel policies and procedure.

Expected Salary: |
$60,000 - $67,000; commensurate with education and experience.

- Proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint).
- Ability to communicate and collaborate with faculty and staff at multiple levels and in diverse fields.
- Ability to plan, organize and coordinate work assignments independently, with a demonstrated ability to lead and work as part of a team toward organizational objectives.
- Outstanding organizational skills, including time management and setting priorities.
- Ability to work independently with minimal supervision.
