Job Description:

Donor Relations & Stewardship
• Coordinate weekly, monthly and annual stewardship efforts driven by gift data in the weekly gift report.
• Assist with IFAS’ annual endowment reporting process in collaboration with the University of Florida Foundation (UFF).
• Draft personalized correspondence to donors on behalf of IFAS leadership and colleagues, which may include gift acknowledgements, donor birthdays and milestones, and other methods of stewardship as directed.
• Work collaboratively with colleagues to create internal and external communication pieces that are consistent with standards established by the University of Florida, IFAS Communications, and UF Advancement Strategic Communications, Marketing & Engagement.
• Serve as a liaison with UF Advancement Donor Relations and attend regular meetings to coordinate stewardship to recognize donors in a meaningful way.
• Assist development officers and leadership in implementing strategic stewardship plans to enhance donor relationships and engagement.
• Assist in coordinating personalized donor recognition activities, including acknowledgments, thank-you letters, impact reports, and milestone communications.
• Develop and implement stewardship strategies for corporate donors in collaboration with the Senior Director of Corporate Relations, UF/IFAS Research, and the Associate Director of Special Events & Donor Engagement.
• Help maintain and update donor profiles, histories, and preferences in CRM systems to ensure meaningful and informed interactions.
• Upload stewardship activity in the CRM to reflect acknowledgements, appreciation gifts or other recognition in donor profiles.
• Engage and communicate directly with council members, donors, volunteers and prospects in support of activities and events.
• Communicate with vendors to order custom stewardship and recognition items.

Project Management
• Manage special projects and office activities using established attributes ensuring effective communication of progress to the Executive Director of Advancement.
• Improve process and procedures by providing feedback, recommendations and participation in focus groups.
• Provide guidance in developing a systems approach to fundraising in IFAS and help to identify areas which could be streamlined for better efficiency.
• Plan and execute stewardship strategies to work independently and under limited timeframes to meet deadlines.
o Ensure project deliverables are met.
o Propose or determine prioritization for projects and tasks in collaboration with the Associate Director.
• Ensure compliance with all University of Florida and UF Foundation, Inc. regulations.
• Plan, report, and track development efforts at the direction of the Associate Director of Special Events and Donor Engagement.
• Assist operations team with general office administration, including but not limited to, gift processing, gift reconciling, answering phone calls, scheduling meetings.

Department Communications
• Prepare and proof correspondence, emails, acknowledgement letters, agendas, and other documents, some of which may be confidential; make necessary edits for accuracy of content.
• Handle transmission of correspondence – including communications of a confidential nature – by mail, fax, e-mail, or other methods as directed; initiate correspondence as necessary to ensure the efficient and timely flow of information within the office. 
• Forward communications with appropriate background material and analysis.  Must use judgment in sorting into action verses general communications.

Performs related duties as required or deemed appropriate to the accomplishment of the responsibilities and functions related to this position.

Expected Salary: $46,000-$50,000; Commensurate with education and experience.
Required Qualifications:

Bachelor’s degree or an equivalent combination of education and experience.

Preferred:

The ideal candidate will possess:

• Two to four years’ experience in a fundraising environment with specific experience in project management and donor stewardship.
• Prior experience in development, fundraising, alumni relations, or Higher Education.
• Ability to conceptualize, develop and utilize innovative materials and resources in support of donor relations.
• Demonstrated project management experience in a multi-operational and multi-disciplinary environment.
• Accuracy, attention to detail and a customer service-oriented attitude.
• Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to engage effectively and collaboratively with a wide range of individuals are essential.
• A commitment to and support for workplace inclusion in all its forms; demonstrated success collaborating with stakeholders; strong project management skills; experience in a data-driven environment; excellent organizational abilities; and the capacity to lead, influence, and inspire others are essential.
• Proficient in the following areas: Windows operating systems, Microsoft Word, Excel, and Access, as well as internet browsers and email platforms. Familiarity with donor databases, contact management systems, and tracking systems is also highly preferred. 
• A valid driver license and good driving record are essential.
