Job Description:

PCard Management and Reconciliation
Manages and performs the reconciliation and approval of PCard transactions for the Rinker School, including support for the Shimberg Center for Affordable Housing and the Fire & Emergency Services program. Monitors PCard activity to ensure all charges are verified, approved with appropriate justification, and assigned to the correct ChartField combination in a timely manner. Maintains current knowledge of and ensures compliance with all University of Florida directives and procedures related to purchasing and PCard use. Serves as the primary point of contact for PCard holders, providing guidance and resolving issues.

Procurement and Payables
Coordinate purchasing of office supplies, equipment, and event materials for faculty and staff through myUF marketplace. Review invoices for accuracy, distribute to programs as needed, and input Chartfield information and backup documentation. Scan and upload invoices not electronically received and follow up on payments to ensure timely processing. Process marketplace-enabled forms, including move authorizations, check requests, contracts, and other documents as required.

Travel and Expense Reimbursement
Coordinates all travel arrangements for Rinker School faculty, staff, students, and student organizations, including competition teams, including booking or assisting with airfare, lodging, and vehicle rentals in accordance with UF Travel Directives. May act as a Delegate to assist in preparing and submitting Travel Authorizations (TAs) and Expense Reports (ERs) in UF GO, ensuring accuracy, proper documentation, and timely reimbursement. Serves as the departmental resource on travel policies, advising travelers on regulations and procedures.

Fiscal Monitoring and Reporting
Performs monthly reconciliation of departmental ledgers, reviewing financial reports to verify the accuracy and appropriateness of all transactions. Identifies and resolves any discrepancies in a timely manner. Assists with Level 1 fiscal monitoring and ensures strong internal controls are maintained for all departmental funds, including state, auxiliary, and UF Foundation accounts.

Administrative Support:
Perform other duties as assigned by the supervisor or the School Director.
Provide back-up support to other administrative and financial staff within the department as needed.
Participate in department-specific training and development opportunities to enhance job performance.

Expected Salary:

$55,000 to $63,000; commensurate with qualifications and experience

Required Qualifications:

Bachelor’s degree in an appropriate area and two years of relevant experience.

Preferred:

1. Knowledge of basic accounting principles, practices and procedures.  Knowledge of or ability to learn University of Florida People Soft procedures dealing with accounting, grants, expenditures, invoices, revenue and grants, including cost accounting standards; ability to prepare financial reports and statements; ability to analyze and interpret accounting data; ability to establish and maintain effective working relationships; and ability to plan, organize and coordinate work assignments.

2. Experience with reconciling, verifying, and approving PCard transactions.

3. Experience with processing travel authorization and expense reimbursement forms.

4. Experience with processing vouchers in the myUFmarketplace module.

5. Ability to follow office procedures and practices.
