The Administrative Specialist II provides essential administrative and financial support to the University of Florida Literacy Institute (UFLI). This position oversees various business operations including travel coordination, purchasing, contract processing, and leger reconciliation. Working under the direction of the Financial Analyst II, the incumbent ensures smooth administrative workflows and supports institute-wide initiatives. This position also serves on the UFLI Leadership Team, contributing to planning and decision-making efforts.
Financial and Travel Processing
• Process travel authorizations, expense reports, and reimbursements according to UF policy. Log incoming checks and support related financial transactions. Posting and balancing daily financial activity in the various UFLI accounts. Reconcile monthly ledgers for UFLI accounts and assist with financial documentation and audits. Support the UFLI Administrative Team with various financial duties as needed.
Purchasing, PCard, Vendors & Contracts
• Initiate and manage purchases, including obtaining quotes, processing invoices and PCard reconciliation as needed. Prepare and route contracts related to UFLI services, vendors and event activities.
Administrative Support
• Provide day-to-day administrative assistance including scheduling, filing, document preparation, and office coordination. Act as liaison for internal and external communications. Support the UFLI office staff with correspondence and general office management.
Event and Program Support
• Assist with preparations and logistics for UFLI Academies and other in-person or virtural events.
Collaboration and Leadership
• Collaborate with other administrative staff within the unit, college, and University as needed. Participate as a member of the UFLI Leadership Team, offering administrative insights for strategic planning and implementation.
M-F 8-5 with some travel as needed.
