Job Description:

Provides administrative support and helps fulfill the requirements and prioritize the functions unique to the Department of Anesthesiology Chair’s office at the university and within UF Health. Manages and maintains calendars for faculty and leadership, including confirming appointments, facilitating scheduling conflicts, and preparing meeting materials accurately and consistently. Creates templates consistent with UF requirements. Manages and tracks requests for information. Understands and proactively meets the needs of the Chair’s office.

Serves as a liaison to various constituents through correspondence, phone, and in-person contact, including taking responsibility for receiving visitors in the Chair’s suite. Responsible for all components of scheduling for Systems Integration leadership, Associate Chairs, and other faculty with leadership appointments. Coordinates a variety of meetings, activities, and events. As dictated by the specific event, duties may include communication with event venue coordinators and participants, determining the appropriate amount of space required, selecting/securing a location, distributing materials, and other associated tasks to ensure that the activity is organized and successful. Serves as a backup to directly support the Chair and Director.

Triages incoming and outgoing communications, including mail/email and telephone. Drafts and edits correspondence, presentations, and other documents. Helps prepare briefings, presentations, proposals, responses, and academic and/or fiscal reports as needed. Assists Chair with review of faculty annual letters of evaluation. Independently follows up as necessary.

Contributes to departmental operations by performing other related duties as required.

Expected Salary: $60,000 - $68,000
Required Qualifications:

Bachelor's degree and five years of relevant experience; or an equivalent combination of education and experience.

Preferred:

Familiarity with the leadership roles in the university and hospital systems to effectively and appropriately provide professional assistance.

  • Significant experience in office workflow management at the senior level with excellent organizational skills and the ability to determine and manage priorities.
  • Experience working in a clinical academic environment.
  • Excellent oral and written communication skills.
  • Ability to work in a self-directed manner, demonstrate initiative, and maintain a high degree of accuracy and attention to detail.
  • Proven ability to manage multiple projects and deadlines. 
  • Experience with planning, executing, and evaluating programs, meetings, and conferences successfully, as well as with budgeting.
  • Database management skills including the ability to create and query reports.
  • Ability to gather, organize, and maintain data and a proficiency in graphing, data entry, spreadsheet, and presentation software and other technical applications, as demonstrated by proficiency in Microsoft Office.
  • Experience in a health care setting preferred.
