Organizes and performs all office and clerical functions including, but not limited to, setting appointments, scheduling meetings, answering the telephone, taking and transcribing meeting minutes, maintaining CV of faculty assigned, organizing and maintaining records/reports related to the responsibilities of faculty assigned and functioning as back-up to other administrative positions in the division.
Under the direction of the Division leadership, assists with coordination of the education program for the CPT Division (including, fellows, residents, and medical students). Works with the Residency office and other departments to schedule learners for the division, meets with learners to onboard them to the division and completes any other education duties as assigned by Division leadership.
Tracks subpoenas for depositions and court appearances for assigned faculty, avoiding scheduling conflicts. Gathers case/medical documentation in preparation for trials/depositions Books travel as necessary. Coordinates with legal staff. Initiates the billing of attorney offices and tracks receipts.
Arranges travel including booking airlines, automobiles, hotel reservations, completes conference registrations, completes travel requests and travel expense reports in collaboration with expense coordinator.
Assists the Division in coordinating events as requested; ensures the scheduling in advance of adequate rooms, reservation and delivery of needed equipment and catering of food, and maintaining the budget.
