Independently prepares, tracks, and processes all HR transactions, including but not limited to appointments, job edits, and terminations for Post Docs, Graduate Assistants, Pre- and Post-Doc Fellows, Student Assistants, and Volunteer hires. Obtains offer clearances and submits background checks and medical screenings, ensuring all requests are accurate, complete, and compliant. Initiates badge requests, email account setup, IT access, and onboarding/offboarding actions for new hires and volunteers as needed. Prepares all foreign hire documentation in coordination with the Immigration COE within the COM Dean’s Office. Ensures that all employees appointed with a visa are authorized to work in accordance with US Citizenship and Immigration Services guidelines. Serves as the liaison with the Dean’s Office for visa processing, including initial completions, reverifications, and extensions.
Coordinates offboarding including entering terminations into the HRIS, terminating all computer access, and ensuring that the department(s) security administrator remove system security access. Verifies that the termination has been fully approved at all required levels.
Collaborates with the COM-HR and HR Manager to review, interpret, and implement Federal, State, and University of Florida laws, rules, and regulations related to labor law and human resource management. Provides direction, trusted guidance, and feedback on emerging and ongoing HR issues, themes, and trends that may affect the department(s).
Ensures compliance with labor laws, institutional policies, and recordkeeping requirements. Maintains employee files, prepares reports, and conducts documentation audits as needed. Participates in policy updates and assists in communicating changes to staff. Monitors required training and coordinates with department(s) to ensure timely completion.
Payroll: Verifies preliminary and final pay lists to ensure accurate payroll for Post Docs, Graduate Assistants, Pre- and Post-Doc Fellows, Student Assistants, and TEAMS employees. Communicates departmental payroll deadlines to ensure all entries are completed before the UF Payroll deadline. Troubleshoots payroll entry issues and manages payroll exceptions by notifying employees and providing instructions for correcting errors. Provides guidance to employees and managers on employment laws, university regulations, and personnel policies and procedures. Approves payroll for designated employees and serves as the department’s backup payroll approver.
Develops procedure manuals for all assigned responsibilities and ensures they remain current as processes evolve. Serves as backup for the other HR position and maintains comprehensive knowledge of all HR-related duties.
