Division Leadership & Oversight
- Directly supervises and evaluates the performance of all Administrative Division Leads.
- Ensures administrative practices are aligned across divisions through standardized procedures, developed in collaboration with functional units (finance, fiscal, clinical operations, HR, research, education, etc.).
- Monitors workload distribution to ensure fair, efficient, and synergistic coverage of administrative responsibilities.
- Acts as a liaison between Division Chiefs, Administrative Division Leads and Department leadership to facilitate clear communication, performance feedback, and continuous improvement.
- Serves as the primary point of contact for Administrative Division Leads to resolve operational challenges; escalates systemic or strategic issues to the Department Administrator and Chair when needed.
- Collaborates with the Chair and Department Administrator to identify and address areas needing increased support, development, or change. Facilitates clear communication between Administrative Division Leads, functional unit leaders, and executive leadership.
- Act as the back-up and/or coordinate coverage when a Division Lead is on extended leave and/or there is turnover in the department to ensure clinical divisions are adequately covering during those periods of time.
Training & Onboarding
- Designs and delivers a structured onboarding program and training curriculum for new Administrative Division Leads.
- Updates and maintains training materials in response to evolving institutional policies and departmental needs.
- Provides mentorship and coaching to new and current leads to support growth and consistency.
- Oversees and supports the professional development of Administrative Division Leads by promoting access to training, certifications, and leadership growth opportunities aligned with institutional priorities.
- Ensures each Division Lead’s work manuals are reviewed and updated biannually.
Policy & Process Standardization
- Leads efforts to create and maintain standardized protocols, templates, and operating procedures for divisional administration.
- Ensures adoption and adherence to policies in collaboration with the Department Administrator and functional unit leads.
- Regularly evaluates procedures for effectiveness and compliance, recommending improvements as needed.
- Develop and maintain a central repository for departmental policies and procedures.
Cross-Functional Coordination and Collaboration
- Maintains regular communication with functional unit leaders to stay informed about department-wide initiatives and administrative developments.
- Maintains regular meetings with functional unit leadership (finance, HR, education, clinical operations, etc.) to stay informed and advocate for divisional needs.
- Ensures that Administrative Division Leads are informed and aligned with updates in finance, HR, education, research, and clinical operations.
- Works proactively to resolve interdepartmental administrative issues and escalate when necessary.
- Collaborate with the Department Administrator and Chair to support initiatives and divisional growth plans.
Administrative Quality & Accountability
- Holds responsibility for the quality, timeliness, and accuracy of work produced by Administrative Division Leads.
- Coordinates regular feedback cycles with Division Chiefs and functional leaders to assess performance and address concerns.
- Conducts regular team meetings to share updates, gather input, and cultivate a collaborative culture among leads.
Strategic Planning
- Works hand in hand with the department leadership and assists in developing and implementing plans at the division level.
- Identify opportunities for growth and improvement in the administration of academic, research, and clinical programs.
- Coordinate with faculty and university leadership to align division goals with departmental objectives.
- Develop and implement communication strategies to promote divisional activities and achievements.
- Support the department’s core administrative office, ensuring cohesive and coordinated administrative efforts across the department.

| Preferred: |
Minimum of 5 years of administrative leadership experience, preferably in an academic medical or higher education environment.
Experience within the UF system (policies, procedures and university systems)
EPIC experience
Knowledge of academic and research administration processes.
