Job Description:

The HR Generalist III plays a critical role in managing the day-to-day human resources and payroll operations for the Department of Community Health and Family Medicine (CHFM), including its Regional Programs. This position provides comprehensive oversight of core HR functions including staffing and recruitment, onboarding and training, credentialing, and daily HR operations while ensuring compliance, consistency, and strong workforce support across a complex, multi-site clinical environment.

In addition, this role leads the department’s general administrative operations, providing direct supervision and coordination of administrative assistants within the central administrative office. The HR Generalist III ensures efficient, well-organized office operations through effective leadership, standardized workflows, and ongoing process improvement, enabling high-quality administrative support for the department’s clinical, academic, and operational missions.

About This Role:

Recruitment, Position Management & Organizational Structure

  • Oversee recruitment for faculty and staff. This includes job description development, approvals, posting/advertising, and salary/benefit package recommendations.
  • Coordinate with COM-HR to advise on salary data and provide recommendations to leadership for positions.
  • Maintain departmental employee database and produce/maintain all organizational charts.
  • Oversee and ensure timely compliance verifications, including E-Verify completion for all appointments.

Hiring and Onboarding

  • Manage hiring and onboarding for all CHFM faculty, regional programs providers, residents, fellows, staff, OPS, graduate students, courtesy appointments, and Shands mid-levels.
  • Serve as primary liaison with UF, COM, Shands HR, credentialing offices, FL Board of Medicine, DEA, and Self-Insurance Trust.
  • Oversee credentialing, reappointments, and provider enrollment for faculty, regional program physicians, and APPs; ensure timely completion of PLQs, NPIFs, billing forms, and licensure tracking.
  • Enter faculty/academic appointments into UF systems; maintain University, Hospital, and departmental databases, including internal Shands employee records.
  • Coordinate pre-employment assessments, health clearances, bloodborne pathogen requirements, and ID badge requests.
  • Ensure orientation and onboarding processes comply with departmental and institutional standards for all UF and Shands hires.
  • Provide guidance to faculty and staff on benefits, policies, and processes; collaborate with ICOE for visa-related hires.
  • Collaborate with Immigration Center of Expertise (ICOE) in COM-HR on hires that require visas.
  • Process volunteer and shadowing requests

HR Operations, Employee Relations & Policy Oversight

  • Oversee HR functions including classification and compensation, leave management, staff relations, performance evaluations, and employee communications for UF and employees.
  • Advise, in collaboration with COM-HR, on departmental managers and employees on HR policies and maintain compliance with University, College, and Department requirements.
  • Maintain personnel and APP files; produce reports, summaries, charts, and presentations as needed.
  • Coordinate FMLA processing, track mandatory trainings, and ensure timely completion.
  • Provide weekly personnel updates to the Vice Chair of Administration and assist in policy development and implementation, as needed.
  • Develops and maintains onboarding tools and training to assist administrators, faculty, and supervising staff implementation.
  • Manage communication to all CHFM employees related to employment, benefits, retirement, and all other personnel-related topics as directed by the COM-HR representatives and representatives of the UFHR to ensure all CHFM employees have information timely.
  • Oversight and management of the SharePoint system for the CHFM department.
  • Serve as Primary DSA for the department; ensure appropriate security and identity access for all employees. Monitor system access reports to ensure compliance and accuracy.

Timekeeping & Payroll Support

  • Manage timekeeping processes for departmental and CHFM clinic staff; ensure policy compliance.
  • Verify pay accuracy and oversee Kronos processes for Shands employees.
  • Maintain leave balances; assist staff with pay/leave/OT questions.
  • Approve exempt time entered by Admin Support positions and ensure correct comp-leave usage.

Administrative Operations Oversight

  • Provide support and supervision to the Administrative Assistants and Support staff within the department’s core administrative office. 
Expected Salary:

Commensurate with education and experience.

Required Qualifications:

A bachelor’s degree in an appropriate area of specialization and two year of appropriate experience or an equivalent combination of education and experience.

SHRM Certified Professional (SHRM-CP), SHRM Senior Certified Professional (SHRM-SCP), HRCI Professional of Human Resources (PHR), or HRCI Senior Professional of Human Resources (SPHR) preferred.

Preferred:
  • Excellent verbal and written communication skills.
  • Working knowledge of spreadsheets, databases, and financial systems.
  • Must be a highly motivated professional with a capacity for hard work and the ability to independently plan, organize, and coordinate own responsibilities toward meeting the goals of the department.
  • Must display interest in the overall well-being of the Department, College, and University. Should take the initiative to assist whenever possible in the success of the institution
  • Experience with University of Florida, Board of Medicine, College of Medicine and credentialing preferred.
