The Administrative Specialist I provides comprehensive administrative and operational support across the Center for Experiential Learning & Simulation (CELS). The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment. Responsibilities include coordinating complex schedules, supporting academic and assessment activities, maintaining records, and managing logistical and operational functions for CELS.
About This Role:
Reporting, Data, and Inventory Management
- Utilize reports and data systems to manage CELS operations.
- Manage billing, invoicing, and payment processes for CELS activities.
- Process payroll for Standardized Patients (SPs) in accordance with UF procedures and timelines.
- Oversee medical supply inventory, including ordering, restocking, and maintaining accurate supply records.
Scheduling and Coordination
- Coordinate and schedule confidential assessment activities, including Florida CARES and Clinical Skills Examinations (CSE).
- Provide scheduling and clerical course support for medical education courses.
- Serve as the course liaison to the Office of Medical Education.
- Provide backup support for calendar management, front desk, and phone coverage.
CSE Management
- Create, manage, and distribute all CSE-related communication to students.
- Attend CSE-related meetings with the medical director; prepare required presentation materials and take minutes.
- Gather, organize, and maintain data for quality control and process improvement.
Research and Meeting Support
- Develop and disseminate ADA-compliant research materials (e.g., brochures, announcements, summaries) and manage communication with stakeholders, media, and the public on research activities and outcomes.
- Maintain accurate records of research activities, progress, and outcomes.
- Take meeting minutes as needed.

- Proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint, Publisher).
- Advanced Excel Knowledge.
- Demonstrated ability to independently plan, organize, and coordinate multiple projects.
- Strong organizational and computer skills with impeccable attention to detail.
- Experience with a Content Management System or Learning Management System.
- Accounting or Bookkeeping experience.
- Ability to perform effectively in a high-paced environment.
