The Administrative Specialist III (Office Manager) provides professional oversight to the faculty, staff, and students of the Department of Anthropology and manages the fiscal, human resource, academic, research administration, and operational elements of the unit. This position is responsible for the management and coordination of budgetary and fiscal transactions, administrative functions, and departmental processes that support instruction, research, and personnel administration. The Administrative Specialist III serves as a liaison to other units in the College and throughout campus and interacts regularly with faculty, staff, students, and visitors. The incumbent works closely with the Department Chair, participates in establishing processes and procedures where appropriate, and recommends action for resolving issues across the department.
- Manage and monitor departmental budgets across multiple funding sources; perform monthly reconciliations, coordinate purchasing and payment activities, maintain fiscal documentation, and advise leadership on resource allocation and financial planning.
- Lead the academic scheduling process by coordinating course planning with faculty and the Department Chair, compiling and reviewing proposed schedules, identifying instructional needs and constraints, and ensuring final schedules are accurate and submitted on time.
- Support research administration by coordinating grant proposal submissions, reviewing materials for compliance, assisting with UFIRST entry and routing, tracking proposal deadlines, and serving as a liaison with the CLAS Research Office and other university units.
- Coordinate human resources administration for faculty, staff, OPS, and student employees, including employment actions, payroll processes, time and leave coordination, effort reporting activities, and maintaining required documentation and administrative records.
- Oversee daily departmental office operations, provide workflow coordination and administrative support, manage departmental events and annual calendars, serve as a liaison with the Dean’s Office and campus partners, and assist with departmental governance and operational processes.
- Perform additional administrative duties assigned to support the department’s instructional, research, and operational objectives.

| Expected Salary: |
The salary is $63,000-$70,000.

| Preferred: |
- Experience in higher education administration with demonstrated responsibility for budgeting, purchasing, HR/payroll coordination, and academic operations.
- Experience coordinating research administration or proposal submission processes (UFIRST preferred).
- Ability to work independently and utilize problem-solving techniques and sound judgment in a complex, deadline-driven environment.
- Ability to plan, organize, and coordinate multiple work assignments with accuracy and attention to detail.
- Ability to communicate effectively, both verbally and in writing, and establish and maintain effective working relationships with others.
- Proficiency with Microsoft Office; experience and knowledge of UF and State administrative procedures preferred.
