We are seeking a friendly, organized, and self-motivated candidate for a part-time Receptionist position primarily covering morning hours in the Department of Health Outcomes and Biomedical Informatics. This role supports daily front desk operations in a large department and includes receiving and distributing mail, maintaining shared spaces such as the reception area and kitchen, monitoring general-use areas on the floor, restocking supplies, and assisting with routine administrative tasks. The ideal candidate should be detail-oriented, able to work independently to meet established standards, and proficient in Microsoft Outlook for daily communication and scheduling support.
Administrative Support:
Perform basic clerical duties such as filing, copying etc.
Prepare and distribute correspondence, memos, and reports.
Mail and Deliveries:
Sort and distribute incoming mail.
Prepare outgoing mail and packages.
Coordinate with courier services for deliveries.
Office Maintenance:
Keep the reception area tidy and presentable.
Monitor and maintain office supplies inventory.
Order new supplies as necessary.
Communication:
Maintain internal communication systems and channels.
Relay important information to staff and management.
Greeting Visitors:
Welcome and direct visitors in a friendly and professional manner.
Answer visitor inquiries and provide accurate information.
Telephone Management:
Answer and direct incoming calls to the appropriate person or department.
Take and relay messages accurately.
Handle outgoing calls as requested.
Visitor Services:
Address visitor inquiries and concerns.
Provide information about products, services, and policies.
Handle complaints and refer issues to appropriate personnel.
Security and Access Control:
Monitor visitor access and maintain security protocols.
Make sure any non-HOBI students are not using HOBI space.
Event Coordination:
Assist in organizing and coordinating meetings and events.
Prepare meeting rooms, including setting up equipment and supplies.
Technology and Equipment:
Operate and troubleshoot office equipment such as printers, scanners, and copiers.
Assist with basic IT issues and coordinate with IT support when necessary.
Miscellaneous Tasks:
Assist other teams with administrative tasks as needed.
Perform special projects and assignments as directed by management.
