The Program Manager for Immersive Experiential Learning provides operational, administrative, and programmatic support to the Director of Immersive Experiential Learning, focusing on end-to-end coordination of college events, implementation and entry into Gators for Good, and management of the College of Nursing Master Calendar. This role manages logistics, technology systems, meeting & event coordination, minutes, scheduling, event planning, and communication activities that underpin immersive learning programs and events. The Program Manager ensures smooth daily operations, efficient use of technologies, elevated events, and strong partnerships that support hands-on learning across the College.
Responsibilities may overlap or shift between Immersive Experiential Learning and Strategic Programs based on programmatic needs, including shared partner engagements, joint pilots, accreditation documentation, and coverage for cyclical demand (e.g., semester start-up, major launches).
Events, Partnerships & Engagement
- Lead planning and execution of experiential learning–related events, including workshops, community engagement activities, and student forums.
- Coordinate event logistics such as scheduling, room reservations, materials, communications, and post‑event follow‑up.
- Maintain College of Nursing Master Calendar, ensuring scheduling of Focus Friday, events, and partner activities.
- Monitor calendar conflicts, request updates from stakeholders, and ensure alignment with academic and operational timelines.
- Maintain accurate and up‑to‑date learner, partner, and placement information within Gators for Good.
- Coordinate updates, troubleshoot data inconsistencies, and assist faculty and staff in using the platform to support immersive learning activities.
- Assist the Director in identifying, cultivating, and sustaining strategic partnerships across campus, healthcare systems, community/global organizations, student groups, and external agencies.
Program Planning, Development & Management
- Provide operational and logistical support to the Director of Immersive Experiential Learning in planning and coordinating experiential learning, community engagement, and global engagement programs and events.
- Serve as the central administrative coordinator for immersive learning programs and events, managing scheduling, space planning, equipment needs, documentation, and communication.
- Prepare high‑quality reports, executive briefs, committee materials, and presentations for leadership and governance groups.
- Manage cross-functional workgroups and task forces, including setting agendas, capturing minutes, and maintaining decision/action logs.
- Develop timelines for immersive learning activities, monitor deliverables, and maintain comprehensive program documentation.
- Track follow-up items and ensure timely resolution of issues and outstanding tasks.
- Assist in developing proposals for new immersive technologies, learning experiences, or community-integrated initiatives.
Reporting, Assessment & Impact Tracking
- Collect, clean, and prepare qualitative and quantitative data for analysis.
- Develop summaries, reports, and dashboards for internal and external stakeholders.
- Monitor milestones, risks, learner outcomes, and engagement across multiple programs.
- Analyze and synthesize environmental scan materials, program documents, and trend data to inform decision-making.
- Manage program dashboards in platforms such as Smartsheet and ClearPoint Strategy, ensuring accurate KPI and progress tracking.
- Maintain organized systems for shared documents, partner directories, project repositories, and evaluation tools.

| Preferred: |
- Master’s degree in a relevant field (e.g., Business Administration, Education, Public Health, Health Administration, Organizational Leadership, or related discipline).
- Experience providing high‑level administrative or program coordination support within a large academic, healthcare, or research environment.
- Strong analytical and critical‑thinking skills with the ability to anticipate needs and develop proactive solutions.
- Demonstrated success working in interdisciplinary settings involving faculty, clinicians, administrators, and external partners.
- Excellent organizational, written, and verbal communication skills, including the ability to prepare reports and meeting materials.
- Experience coordinating events, meetings, or program activities, including scheduling, documentation, and logistics management.
- Ability to manage multiple priorities with attention to detail in a fast‑paced environment.
