Job Description:
The Executive Assistant II provides senior-level administrative, operational, and strategic support to the Dean of the College of Nursing in their dual capacity as Dean and System Chief Nurse Executive for UF Health, as well as to the Executive Associate Dean. This role requires exceptional judgment, discretion, and critical thinking, along with a thorough understanding of university and academic health system operations. The Executive Assistant II manages highly sensitive and confidential matters, coordinates complex executive priorities, and serves as a trusted liaison to internal and external stakeholders. In addition, this position leads the College of Nursing’s Administrative Services Team, ensuring consistent processes, high-quality service delivery, and a professional, efficient administrative environment.
 

Executive Support 
- Oversees all administrative functions for the Dean and Executive Associate Dean, ensuring efficient, confidential, and proactive support.
- Manages complex and sensitive communications, acting as the primary point of contact for faculty, staff, university leadership, UF Health partners, community leaders, and external organizations.
- Manages the executives’ calendars, prioritizing meetings, requests, and commitments with expert discernment.
- Prepares, organizes, and synthesizes materials for executive discussions, presentations, board-level reviews, accreditation needs, and strategic meetings.
- Drafts, edits, and coordinates executive correspondence, reports, agendas, minutes, and formal communication on behalf of senior leadership

Representation & Executive Liaison 
- Serves as a highly visible representative of the Dean and Executive Associate Dean in interactions across the university, UF Health, and broader community.
- Communicates directives, decisions, and follow-up actions on behalf of executive leadership, ensuring clarity, consistency, and timely execution.
- Anticipates the needs of senior leaders by monitoring institutional activities, identifying issues requiring attention, and proactively facilitating connections or information flow.
- Builds and maintains productive relationships with academic leaders, clinical leaders, donors, community partners, advisory groups and other stakeholders.
- Demonstrates diplomacy, professionalism, and sound judgment when engaging with high-level stakeholders.

Administrative Services Team Leadership 
- Leads, supervises, and develops the Administrative Services team, including performance management, workload assignments, onboarding, and professional development.
- Establishes and maintains administrative standards, workflows, and service expectations across the College.
- Oversees administrative staffing needs and collaborates with unit leaders to ensure efficient and consistent administrative support.
- Fosters a culture of professionalism, accountability, and continuous improvement within the Administrative Services team.

Expected Salary:

$70,000-$80,000

Required Qualifications:

Bachelors degree and five years of experience or an equivalent combination of education and experience.

Preferred:

• Strong analytical and critical‑thinking skills with the ability to identify issues early and propose solutions proactively.
• Experience providing executive‑level support within a large, complex academic, healthcare, or research organization.
• Demonstrated success supporting C‑suite, dean‑level, or hospital/health system senior leadership.
• Experience leading or supervising administrative teams, including performance management, workflow development, and staff training.
• Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), including managing complex calendars, data tracking, and document creation.
• Prior experience working across interdisciplinary environments that include faculty, clinicians, executives, and external partners.
• Exceptional organizational, analytical, and communication skills.
