Job Description:

Event Services and Facility Coordination

  • Serve as a key operational coordinator for Event Services by supporting space functionality and service delivery across scheduled events, conferences, and daily building activity within the Reitz Union
  • Lead operational reviews during events to ensure alignment with approved event plans, accessibility and safety requirements, and University and Reitz Union policies, and coordinate and document corrective actions and escalations as needed
  • Initiate, track, and manage maintenance, custodial, and technology work orders related to event and shared-use spaces and communicate status updates to professional staff and clients as appropriate
  • Coordinate and verify audiovisual and event technology setup to ensure functionality and service delivery
  • Provide day-to-day operational guidance to students and OPS staff and direct Building Managers as needed to ensure consistent service delivery, safety practices, and policy compliance
  • Coordinate incident communications and follow-up actions in alignment with established procedures
  • Assist with operational coordination and documentation with third-party hotel management to ensure alignment with service expectations and facility operations

Administrative Operations, Systems, and Assessment

  • Analyze space utilization, room inventory, and event volume data to support scheduling efficiency and revenue and capacity optimization
  • Review reservations, permits, and service requests for accuracy and policy compliance
  • Collect and summarize overall Event Services and Hotel satisfaction and service feedback to support continuous improvement and leadership reporting
  • Support fiscal processes by preparing requisitions, tracking expenditures, and maintaining procurement and budget documentation
  • Support coordination with third-party hotel management to align guest room availability with conference and event space scheduling as needed
  • Assist with development, maintenance, and dissemination of comprehensive training and operational manuals for personnel, building systems, and equipment
  • Support efficient and effective use of software systems and web content through timely system updates, optimizing configuration based on current policies and procedures, and maintaining thorough resources and information for users

Special Projects and Performance Support

  • Track conference and group booking activity and support inquiry-to-booking workflows in partnership with Event Services leadership and third-party hotel management
  • Identify underutilized spaces, low-demand periods, and service trends and prepare summary insights to inform marketing outreach and scheduling strategies
  • Compile satisfaction and booking trend summaries to support internal planning, rate review, and service improvement discussions

Additional Duties

  • Serve on Reitz Union, Division of Student Life or University of Florida committees or program support as needed
  • Assist with emergency action plan procedures as needed
  • Provide operational support during evenings and weekends as needed
  • Develop reports, handle special projects, tasks, and other duties as assigned
Expected Salary:

$48,000

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:
  • Prior experience in customer service, event support, and/or hospitality
  • Event planning, logistics, and on-site event management
  • Knowledge in applying rules, regulations, policies, and procedures
  • Excellent computer skills, including proficiency in Microsoft Office suite and software applications
  • Strong interpersonal skills (communication, oral and written) and organizational skills with the ability to build positive relationships
  • Customer service skills
  • Ability to collaborate effectively in team settings
  • Ability to handle high volume of detail work with accuracy
  • Handle multiple projects or tasks simultaneously
  • Function effectively in a fast-paced environment with frequent interruptions
  • Understand, interpret, and apply rules, regulations, policies, and procedures
  • Work collaboratively with team, clients, and vendors
