Job Description:
This position serves as a Human Resources Generalist II for the College of Nursing (CON), independently performing a wide range of complex and highly responsible human resources functions. Reporting to the Associate Director of Human Resources, the incumbent provides comprehensive HR advisement, support, and recommendations to College administration, faculty, and staff while ensuring compliance with College, University, State, and Federal policies and regulations. The ideal candidate possesses strong knowledge of College and University policies and procedures and demonstrates excellent interpersonal and communication skills to effectively support a wide academic community.
 

HR Recruitment and Hiring Management

Serve as the primary for all College of Nursing recruitments, including position postings, letters of offer, hires, and distributions. Provide guidance throughout the recruitment lifecycle, including posting requirements, recruitment strategies, interviewing processes, veterans’ preference, foreign national hiring requirements, background screenings, health assessments, work authorization, reference checks, advertising strategies, search committee requirements, and recruitment timelines.

Review and approve all letters of offer and appointment documents prior to issuance. Ensure all HR documentation is accurate, complete, and compliant before approval in PeopleSoft, the University of Florida’s human resources management system. Post and manage faculty recruitment requisitions in PeopleSoft, ensuring accuracy and adherence to UF faculty recruitment guidelines. Provide recommendations on recruitment advertising, consult on recruitment-related questions, and ensure all postings advertised through UF systems are properly distributed.

Human Resources Operations

Track employee anticipated end dates and renewal timelines, coordinating with department administrators to ensure timely processing of reappointments, terminations, letters of reappointment, and leave settlements. Develop and maintain accurate tracking systems to support timely hires and separations, preventing payroll delays or overpayments.

Serve as the primary College of Nursing liaison and processor for international hires and international scholars, coordinating with departments, Fragomen, Central UFHR, and the UF International Center across all salary plans. Review offer letters and immigration documentation and submit required materials for HR review and international tax processing.

Ensure Graduate Assistants and fellowship recipients are accurately entered into the Letter of Appointment system and monitor tuition waivers to resolve issues affecting payment. Track renewal and end dates to ensure timely renewals and terminations.

Manage the College of Nursing onboarding program for all new employees, fostering a welcoming and supportive experience. Coordinate with department chairs and supervisors to initiate welcome communications, onboarding checklists, and college and UF orientation activities. Provide structured check-ins at the first, third, and ninth months to build communication, engagement, and retention. Partner with department chairs on faculty onboarding and provide guidance on applicable HR policies, procedures, rules, and regulations.

Coordinate employee and volunteer offboarding processes, including collection of termination documentation, facilitation of exit checklists or interviews, and recovery of University property (e.g., keys, ID cards, PCards). Authorize Gator ID access and manage business card requests for new hires. Oversee Alternate Work Location agreements, as applicable.

Serve as the College’s HR subject matter expert, providing accurate guidance on policies, rules, and regulations to faculty, staff, and students. Stay informed of HR trends and changes by attending monthly HR Forums and disseminate key updates and impacts to College leadership.

 

Payroll and Leave Management

Ensure accurate and timely employee time and leave entry by coordinating with time approvers and issuing reminders ahead of deadlines. Process leave balance adjustments, off-cycle check requests, wage refunds, and provide backup support for payroll approvers. Review biweekly preliminary and final payroll reports for accuracy and compliance with University timelines to ensure timely employee pay.

Submit and manage FMLA requests, track usage, and input FMLA time in PeopleSoft. Serve as the UF Directory Coordinator for all salary plans within the College. Act as the College HR subject matter expert for payroll, leave, and FMLA-related matters.

Manage payroll distributions across state, contract, grant, and clinical funding sources in PeopleSoft and the College of Nursing database.

Training and Records Management

Maintain official electronic personnel records, including documentation related to personnel transactions, annual evaluations, licensure, transcripts, promotion and tenure materials, salary actions, and compliance certifications. Collect and analyze employee data and generate reports for deans, directors, and department chairs, including semi‑annual comprehensive faculty data reports.

Recommend and implement internal HR policies and procedures to support College operations. Maintain compliance records in accordance with Health, FERPA, HIPAA, and background check requirements. Track required training completion for all employees and ensure new hires complete all mandatory training requirements within designated timeframes.

Expected Salary:

$55,000-$65,000

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred:
  • Bachelor’s degree preferred.
  • Experience processing international visas and supporting international hiring or appointments.
  • Experience supporting or processing clinical faculty appointments in an academic or healthcare setting.
  • Knowledge of university personnel procedures, policies, and regulatory requirements.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to communicate effectively with a diverse population of faculty, staff, and external partners.
  • Ability to apply sound problem‑solving and analytical techniques in a fast‑paced environment.
  • Ability to manage multiple priorities simultaneously while tracking progress and following through on projects.
  • Ability to interpret, apply, and implement University and College administrative, accounting, and human resources policies and procedures.
  • SHRM Certified Professional (SHRM-CP), SHRM Senior Certified Professional (SHRM-SCP), HRCI Professional of Human Resources (PHR), or HRCI Senior Professional of Human Resources (SPHR) preferred
