Job Description:

The position provides strategic and operational leadership for a unified Project Management Office (PMO), overseeing enterprise-wide project intake, prioritization, governance, and delivery to ensure alignment with organizational mission and strategic goals. The role supervises and mentors project management staff, establishes standards and best practices, and drives continuous improvement in PMO maturity, quality assurance, and portfolio performance.

Project management coordination, supervision, and strategic planning

  • Supervises and leads the unified Project Management Office, setting vision, standards, and direction to ensure cohesive, mission-aligned project and portfolio execution.
  • Onboard and train new project management team members such that standard operating procedures are implemented with fidelity.
  • Oversees Center-wide intake, prioritization, and tiered governance to ensure strategic alignment, transparency, and effective decision-making.
  • Ensures consistent, high-quality delivery across Managed and Tracked projects, including research, implementation, and development, using a hybrid Agile-Waterfall framework that supports both predictability and adaptability.
  • Directs centralized resource planning and utilization, maintaining balanced capacity across teams and proactively addressing cross-functional dependencies.
  • Provides clear, data-driven portfolio reporting—including Power BI dashboards and executive summaries—to support strategic oversight and timely action.
  • Builds strong partnerships across Implementation, Development, and Center leadership to align priorities, manage expectations, and ensure coordinated delivery.
  • Drives PMO maturity and continuous improvement through retrospectives, process refinement, and adoption of best practices.
  • Leads enterprise risk, issue, and change management practices to ensure early identification, escalation, and resolution of challenges impacting delivery.
  • Conducts project meetings and communicates project status with partners, project team members, vendors and supervisors.
  • Create and revise policies and procedures; this can include updating existing policies as well as creating new ones.
  • Establish and maintain relationships with business units and key partner groups to understand their business needs, ensure alignment on objectives and ongoing buy-in across all project activities.
  • Translate business objectives into projects with clearly defined scope, timing, deliverables, resources, and key measures of success.
  • Maintain comprehensive project documentation. Provide regular progress reports, including status updates, performance metrics, and project evaluations.
  • Proactively manage and communicate ongoing changes in project scope, identify potential crises and devise contingency plans.
  • Lead and mentor project managers and team members. Provide guidance and support to ensure effective project execution and resolve any issues that arise. 
  • Identify and implement best practices for project management and process improvement. Foster a culture of continuous improvement within the project management team.
  • Contribute to strategic planning for project management workflows and practices, including but not limited to change leadership, process mapping, sprint development, and project documentation.

Project management operations

  • Develop detailed project plans, including scope, objectives, timelines, and resource allocation. Oversee the execution of projects, ensuring that milestones are met and deliverables are achieved.
  • Lead project meetings and drive project issues through to resolution.
  • Develop and deliver progress reports, proposals, requirements, documentation and presentations.  Meets with partners to determine customer expectations regarding the project.
  • Identify potential project risks and develop mitigation strategies. Monitor and address risks and issues to ensure minimal impact on project delivery.
  • Facilitates the analysis and resolution of issues that impede project progress.
  • Support development and enhancement of project budgeting and FTE management workflows for development projects.

Project management strategy and quality assurance

  • Actively manage the development project global view calendaring system to ensure capacity remains at optimal levels across all development teams.
  • Lead the development of best practices and tools for project management.
  • Conduct post project assessments and evaluations.
  • Create recommendations to identify successful and unsuccessful project elements.
  • Ensure comprehensive and seamless project post-implementation transition.
  • Create and implement UAT processes and tests for project health and governance.
  • Advance PMO wide systems to support transparency of projects, risk mitigation and milestone reporting.

Other duties as assigned

Will travel for assigned business purpose minimally.

Expected Salary:

$105,000 - $115,000

Required Qualifications: Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree and four years of relevant experience; or an equivalent combination of education and experience.
Preferred:
  • Education: Bachelor’s degree in Business Administration, or a related field. PMP, PRINCE2, or similar project management certification is preferred.
  • Experience: Minimum of 5 years of experience in project management, with a proven track record of managing large-scale or complex implementations and a team of project managers.
  • Skills:
    • Strong project management skills with experience in planning, executing, and closing projects.
    • Excellent leadership, supervision and team management abilities.
    • Proficiency in project management software and tools (e.g., MS Project, Asana, Jira) and project management approaches (e.g. Agile, Kanban, etc.).
    • Exceptional communication and interpersonal skills.
    • Strong problem-solving and decision-making capabilities.
    • Ability to manage multiple projects simultaneously and work effectively under pressure.
    • Detail-oriented and highly organized.
    • Proactive and able to anticipate and address potential challenges.
    • Collaborative mindset with the ability to work across departments and with various stakeholders.
