Job Description:

The Stephen C. O’Connell Center is a multipurpose facility that hosts some of the nation’s top intercollegiate athletic events, entertainment, community, and University related activities.  The O’Connell Center has 18 full-time employees, and as many as 300-350 part-time student employees.

PREPARATION OF FINANCIAL REPORTS Coordinate reconciliation activities for the division.  On a monthly basis, reviews, analyzes, and reconciles the financial records of all department IDs within the division.  Completes routine monthly reports and ad-hoc reports as needed.  Completes the University required reports such as cost space allocation, effort tracking, and non-academic activity reports for the auxiliary functions of the Center. Reviews the workbench items on the Transaction Review Dashboard.

ACCOUNTING RESPONSIBILITIES Compiles invoice information from event administrators and creates accurate invoices, submits invoices to Center users, and tracks payments.  Prepares the monthly sales tax reports for submission to core offices. Maintains accurate purchase order and vendor files.  Maintains unencumbered purchase records. Maintains Center’s commercial accounts with individual vendors and responds to vendors’ concerns as needed.  Provides purchasing training to department staff.

AUDITING RESPONSIBILITIES Assist in the review and corrections on activity reports from the SCOC transaction logs that will be used during the reconciliation process to ensure clean and accurate data.  Reviews all travel expense reports for accuracy and appropriateness.  Audits all timekeeping corrections to ensure accuracy for both employee pay and for budgeting/billing accuracy.

FINANCIAL MANAGEMENT Enter budget entry into Hyperion/UF Budget Planner annually.  Provide budget updates and projection information on a quarterly basis of departmental budgets to supervisors.

Is fully cross-trained in all functional areas managed and supported by the SCOC accounting department and assists or provides coverage for team members during high volume or absence.  Maintains effective business relationships with division and university core offices.  Attends university meetings to ensure understanding of and compliance with rules and regulations.  Recommends policy regarding accounting functions.  Works with accounting team members to keep abreast of regulatory, compliance and process changes.  Alerts the Senior Director and Associate Director to potential financial issues for the department.  Updates desk reference materials with updated information. Maintains property records and directs the annual inventory of both UF capital assets and sensitive property.

OTHER DUTIES AS ASSIGNED Perform special projects and related duties as required. Shares responsibility of representing the university with the artist representative in the sale of novelty items, inventories, merchandise, and collects percentage of sales due to Center, when necessary. Special reporting, tracking, and assisting with show settlements on show nights.

NORMAL WORK SCHEDULE:

Monday – Friday, 8:00 am - 5:00 pm, 40 hours total per week.

Due to special events such as concerts, commencements, etc., this position will require occasional work on nights, weekends, and/or holidays.

Expected Salary:

$63,000.00 to $68,000.00 Annually

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience.

Preferred:

Master’s degree in an appropriate area of specialization or a CPA certificate.

Excellent analytical, verbal and written communication skills. 

Ability to analyze and interpret data. 

Strong interpersonal skills and a demonstrated ability to work collaboratively. 

Ability to work independently as well as in a team and exercise good judgment.
