Job Description:

As an Academic Program Specialist I, this individual will engage with partners across the university to highlight the benefits of pharmacy as a career, as well as become the point person that promotes our pipeline programs and Pharm.D. program at UF events. This individual will also assist with academic advisement for pre-health professional students seeking admission to the College of Pharmacy. This position will manage, track and help the Pharmacy Early Assurance Program (PEAP) grow oversees the strategic development, implementation, assessment, and continuous improvement of programs designed to recruit, engage, and retain future Pharm.D. students.

Other responsibilities involve assisting with the recruitment of students, teaching an orientation seminar to UF freshmen, maintaining accurate records for reports and interaction with computer systems established by the University to track and advise students. This position exercises considerable independent judgment in program administration, student advising, recruitment planning, and enrollment management initiatives while serving as a key contributor to the College's student recruitment and engagement strategy.

This position also serves as the Admissions program coordinator for the Gator Pharmacy Exploration Camp (GPEC), overseeing planning, assist with application review, and on-site execution in collaboration with the College of Pharmacy Community Engagement office.

STUDENT ADVISING 

·Support UF pre-pharmacy and Pharmacy Early Assurance Programs (PEAP) students by advising on prerequisite and general education requirements, college admissions, and alternative career paths using Degree Audit, University Tracking, and Salesforce for tracking. Develop advising resources, educational materials, and programming that support student success and informed academic decision-making.

·Assist with and facilitate the First Year Florida seminar courses for freshmen at the University of Florida.

·Represent the College of Pharmacy at UF's Preview program and other advisement-related events, including the Undergraduate Advising Council. Serve as a liaison to UF's Academic Advising Center, providing information on educational and career options in Pharmacy to incoming students.

·Advise prospective students regarding program options, admission requirements, pre-professional course requirements, and deadlines. Evaluate transcripts for equivalences of required courses, grades, withdrawals, and grades less than C. Advise on the prospective student’s academic pathway to ensure success and completion of the required pre-professional courses.  These activities are accomplished via email, telephone, walk-in visits, electronic meetings and personal advising appointments.

·Track and advise students in the 3+4 program to ensure they follow procedures for graduating from their undergraduate program after the first year of pharmacy school.

PROGRAM PLANNING AND ADMINISTRATION 

·Develop and nurture relationships with faculty members and academic advisors at the University of Florida to promote collaboration and support for our Pharm.D. program.

Pharmacy Early Assurance Programs (PEAP) Coordinator:

·Advertise the program, evaluate applications, assist with educational sessions, track student attendance and academic progress, track pharmacy student ambassador involvement.  Attend individual student and group meetings.  Assist with workshops.

·Keep accurate records of students’ progress and create reports for the PEAP program and track information in Salesforce. 

·Assist in identifying prospective options to grow the Early Assurance Programs. Travel to newly started PEAP partner schools to maintain relationships and train them to advise the PEAP students at their institutions. 

·Aid in the development of Early Assurance programs that feed into our Pharm.D. program while increasing the number of students in our Early Assurance and Pre-Pharmacy programs.

·Seek out and cultivate partnerships with university departments and organizations to boost our program's visibility and reputation.

·Coordinate visits with prospective UF students, high school field trips to campus, visiting Pre-Pharmacy student organizations, coordinate skills lab experiences for prospective UF students.

Gator Pharmacy Exploration Camp (GPEC) Coordinator:

·Serve as the primary Admissions team coordinator for the Gator Pharmacy Exploration Camp (GPEC), a pre-pharmacy pipeline and outreach program for prospective students.

·Coordinate all GPEC planning in collaboration with the College of Pharmacy Community Engagement office, Admissions & Recruitment staff, faculty, and campus partners.

·Assist with the GPEC application process, including application review, selection of camp attendees,
Coordination with the Admissions team to ensure equitable, mission-aligned participant selection.

·Supervise and coordinate GPEC camp counselors, including onboarding, scheduling, communication, and day-to-day oversight during camp operations.

·Plan and manage schedules, activities, materials, and program flow.

·Support the development and execution of GPEC programming that aligns with College of Pharmacy recruitment, pipeline development, and student engagement goals.

·Track GPEC participation, attendance, and outcomes for reporting and assessment purposes.

STUDENT ENGAGEMENT AND SUPPORT 

·Develop and maintain relationships with potential applicants, advisors, and other connections on campus, and provide information about our pipeline programs, pharmacy careers, prepharmacy course requirements, application procedures and admission criteria.

·Respond to student inquiries and requests.

·Develop and maintain relationships with the UF Admissions department, the UF Pre-Health Advisors, the UF feeder colleges of biology (CLAS and CALS), the UF Nutritional Food Sciences program advisors, the UF Career Connections department and any other program or department that could feed students to our program.

·Work with the UF Pre-Pharmacy Society to expand membership to prospective students from the local feeder state schools.
 
·Represents the College of Pharmacy at UF hosted Open Houses, College and Career Fairs and advises prospective students on the UF COP Pharm.D. Program.  Collaborate with the Admissions & Recruitment team to align PEAP, GPEC, and pre-pharmacy advising activities with admissions timelines and communications.

DATA TRACKING, CRM & REPORTING 

·Maintain accurate student records, advising notes, and communications in Salesforce.

·Assist with data validation, reporting, and tracking to support admissions planning and program assessment.

·Ensure compliance with FERPA, data privacy, and institutional requirements.

OTHER DUTIES 

·Provide backup support for Admissions & Recruitment initiatives during peak periods.

·Assist with special projects related to pipeline development, advising support, and student engagement.

Expected Salary:

$50k-$55k
