Job Description:

The University of Florida Office of Professional and Workforce Development is seeking a motivated and detail-oriented professional to serve as an Education/Training Specialist I. This position plays a key role in supporting workforce development programs by providing student and technical support, maintaining training records, and assisting with the administration of learning and registration systems.

The Education/Training Specialist I will work closely with program staff, instructors, students, and external partners to ensure the successful delivery of high-quality professional education programs. Responsibilities include troubleshooting student and system issues, generating reports and certificates, supporting learning management and registration systems, and assisting with accessibility and compliance reviews of online courses.

Opportunity

Reporting to the Education/Training Program Manager I, the Education/Training Specialist I is responsible for providing programmatic, technical, and operational support for the Office of Professional and Workforce Development (OPWD) located at the Training, Research, and Education for Environmental Occupations (TREEO) Center. This position supports career and workforce development programs by coordinating student registration activities, maintaining training records and reporting, supporting learning and registration systems, and assisting with instructional and program operations. Working collaboratively with program staff, instructors, students, sponsor agencies, and campus partners to ensure program activities are completed accurately, efficiently, and in compliance with university and sponsor requirements.

Student Registration, Technical, and Program Support
•           Provides registration support to career and workforce development students and partner organizations
•           Answers student and stakeholder inquiries related to course availability, locations, costs, registration procedures, and technical requirements
•           Registers, transfers, and processes course changes for students using information from emails, phone calls, or online systems
•           Processes refunds and generates invoices as needed for students or organizations
•           Troubleshoots student and instructor issues in both the Learning Management System (Canvas) and Registration Systems
•           Provides technical support and guidance related to registration and learning management systems to departments, instructors, and campus partners

Program Operations and Reporting Support
•           Generates course certificates, transcripts, name tags, sign-in sheets, and specialized attendance documentation
•           Generates progress, participation, and completion reports for sponsor agencies, partner companies, and internal program staff
•           Schedules deliveries of course materials and coordinates classroom, canteen, or demonstration area setup for onsite courses
•           Supports program closeout activities by reconciling registration and program completion data across systems
•           Assists with maintaining program documentation, records, and operational procedures

Database, Learning Management System, and Compliance Support
•           Accesses databases to verify student records, generate transcripts, and maintain certification and completion records
•           Enters completions, grades into registration systems, and verifies information in certification databases
•           Verifies course prerequisite requirements and obtains required certifications or supporting documentation
•           Reviews courses and instructional materials in the Learning Management System (Canvas) for accessibility compliance and completeness
•           Assists with maintaining accurate electronic records and ensuring compliance with university and sponsor reporting requirements

Other Duties
•           Supports other units within the Office of Professional and Workforce Development (OPWD) as needed
•           Participates in departmental projects, process improvements, and other duties as assigned

 

Expected Salary:

$23 - $26 per hour

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience, or an equivalent combination of education and experience.

Preferred:

Experienced in all Microsoft Office applications and PeopleSoft. Excellent customer service skills.
