Job Description:

The Human Resources Generalist I works closely with the Human Resources Manager, the Director of Administrative Services, and the Dean’s office in the College of Design, Construction and Planning team at the University of Florida. The primary role of this position is to provide professional human resources support through recruitment, hiring, onboarding, offboarding, personnel transactions, records management, payroll-related support, I-9 verification, Immigration and general employee support. This position assists with day-to-day HR operations for Faculty, TEAMS, OPS, GRA, and Students by processing routine HR actions, maintaining tracking tools and records, supporting hiring and onboarding workflows, and helping ensure compliance with department, college, university, state, and federal requirements. This position works closely with the College HR team, and other university offices to support timely and accurate HR processing. This position serves as a departmental point of contact for routine HR questions, supports employee lifecycle processes, and helps maintain organized, consistent HR workflows and documentation. This role is intended to provide a strong foundation in departmental HR operations while allowing room for growth into more complex HR responsibilities over time.

Human Resource Hiring and Personnel Processing 

Responsible for assisting with and processing routine HR transactions for Faculty, TEAMS, OPS, GRA, and Students in coordination with the department HR team. Supports recruitment and hiring activities, including preparing and routing hiring requests, assisting with job postings, coordinating background checks and verification requests, preparing draft offer letters, and helping process new hires, terminations, appointment changes, and renewals. Assists with processing FTE changes, salary changes, and other personnel-related actions in myUFL and related systems. Maintains awareness of department, college, and university policies and procedures to help ensure HR actions are completed accurately and on time such as: ePAF Originator – initiates job actions in the electronic Personnel Action Form (ePAF) System including: hires, terminations, leaves of absence, pay increases, FTE changes, Persons of Interest, vacation leave cash outs. Enters employee payroll distributions upon hire authorization. Uploads required documents to OnBase for UF HR records. Communicate with college HR Manager on job actions (ePAFs) requiring collaboration within the college.

Onboarding, Offboarding, and HR Records Support

Coordinates onboarding and offboarding support for employees in partnership with the department's HR team. Assists with onboarding logistics, communication, and preparation of new employee materials. Supports offboarding processes by coordinating checklist items, asset return follow-up, and separation-related documentation. Assists with payroll-related support and routine pay-impacting actions, including tracking and processing items such as appointment updates, salary changes, FTE changes, and leave-related actions as assigned. Coordinates I-9 verification and related onboarding compliance steps in accordance with university requirements.

HR Compliance, Tracking, and Employee Support

Establishes and maintains confidential personnel files and electronic HR records. Maintains HR tracking tools, Smartsheet records, document logs, and filing systems to support continuity, accuracy, and timely follow-up. Supports HR compliance-related processes through routine tracking and follow-up. Assists with tracking probationary periods, evaluations, training compliance, leave cash-outs, and other recurring personnel actions. Provides routine guidance to employees and supervisors regarding standard HR procedures, forms, and next steps, while referring more complex, sensitive, or higher-level matters to the HR Manager as appropriate. Process and track electronic Personnel Action forms (e PAFs) for Faculty, staff and student employees. Time and Labor/Payroll – Supervises biweekly payroll and time reporting processes. Ensures department’s time input and approval is completed by established deadlines. Provides second and final review of biweekly paylist and ensures any discrepancies are corrected. Creates time approval groups for supervisors.

Foreign National and Departmental HR Support

Assists the department HR team with limited administrative support related to foreign national faculty, visiting scholars and student hires (F1, J1, H1B, OPS) and renewals, including gathering documents, maintaining tracking logs, and supporting follow-up communication. Processes and tracks volunteer appointments and assists with related departmental HR documentation as assigned. Provides general departmental HR support for recurring projects, workflow updates, and process documentation. Administrative Support-15% Provide general office support including scheduling meetings, managing correspondence and maintaining files. Maintain Graduate Student database Acts as a backup for all unit HR Generalist. Assist with Lenel and Genetec security for the Ramos Collaboratory Assist with Tenure and Promotion. Maintain and update the HR related documents in myDCP website Assist with departmental events, workshops and conferences.

Other duties as assigned by HR Manager. 

Expected Salary:

$24.50 - $25.38/hour

Required Qualifications:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Preferred:

Knowledge of UF HR systems (i.e., ePAF system, Equifax, HireRight, Peoplesoft, PageUp, Workday) Experience managing Graduate Student Appointments, Tuition Waivers, and Scholarships is strongly encouraged.
